The Administrative Assistant will be responsible for facilitating transactions, producing, assembling and delivering replacement/ repair parts and equipment as part of a Services agreement or order. Includes activities such as processing transactions, managing processes, material management, site operations, or warehouse logistics & shipping, sometimes in a shop structure. Includes craft & non craft labor as well as manager roles responsible solely for these activities.
 

As an Administrative Assistant, you will be responsible for:
 

  • Coordinate resources to achieve goals with a timely and cost-effective strategy. Lead and assist in daily operations. Develop, coordinate, lead, and execute daily production plans and coordinate consistent and effective shift-to-shift transition. Develop and implement process controls.
  • Support operations leader in the strategic planning of manpower, equipment, and other resources.
  • Major contribution to the development of an operational year plan for own department activities of the team.
  • Contacts are under guidance and/or geared towards specifying activities, planning of activities and giving explanations on technical issues. Works on the basis of predefined contracts and frameworks
  • Providing logistic and administrative support to FSEs and staff.
  • Interacting with third party suppliers for prevention services: training and medical checks for employees, risk assessment, safety.
  • Managing Suppliers for registration of new suppliers, management of invoices to payment process and qualification of new customers.

To be successful in this role you will:
 

  • Have a Bachelor's degree in a related field or a High School Diploma/GED with relevant, professional experience in a Services environment
  • Be able to demonstrate good experience in administrative/support roles
  • Show local HSE rules (risk management , training, etc.) and Field Services processes knowledge
  • Show main IT tools proficiency
  • Be able to identify and implement improvements to increase efficiency and customer satisfaction
  • Show excellent organizational and cross-functional project management skills in a global-matrix environment
  • Have excellent oral and written communication skills, be fluent in English and Russian
