Administrative Assistant
Role: Administrative Assistant
Provides administrative support to a department or individual. Duties may include typing, filing, answering phones, scheduling, calendaring, record keeping, coordinating meetings and conferences, obtaining supplies and/or sorting/distributing mail. May work on special projects to include recording, compiling, retrieving, reporting, and analyzing information. Must be able to multi-task and prioritize. Strong communication skills and organizational skills are required. Proficiency with MS Office required. Works with moderate work direction and can identify issues/problems but may need assistance in resolving. This position would typically include a senior Administrative Assistant who is able to manage, train and mentor other office staff, lead projects, handle confidential and sensitive data. The nature of the job is generally creating rather than maintaining and developing rather than monitoring.
Key Responsibilities:
- Office Management: Maintain office supplies, organize files, and ensure the workspace is tidy and efficient.
- Communication: Handle incoming calls, emails, and correspondence with professionalism and promptness.
- Scheduling: Coordinate and manage appointments, meetings, and travel arrangements for team members.
- Documentation: Prepare reports, presentations, and other documents as needed.
- Support: Assist in various administrative tasks and special projects to support different departments.
Qualifications:
- Experience: 2+ years of experience in an administrative or office support role.
- Skills: Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook). Excellent organizational and multitasking abilities.
- Attitude: Positive, proactive, and able to work both independently and as part of a team.
- Excellent verbal and written communication skills, MS Office (Word, Excel and PowerPoint) and email systems, strong administrative coordination abilities, customer service experience
- Experience in Oil and gas is considered an asset.
