Family Promise of West Michigan is seeking an Advancement Operations Manager. This position integrates advancement strategies and operations for the entire team. They are responsible for implementation of systems, strategies and management plans to effectively coordinate the annual fundraising strategies and works with the team to provide donors with a unique and personalized relationship with the organization.


This position reports to the Chief Advancement Officer.

Our Ideal Candidate will get to:

  • Directly support the CAO in carrying out the Advancement office operation responsibilities.
  • Perform administrative work of a confidential nature for the CAO.
  • Responsible for calendar management for CAO and CEO
  • Act with a high degree of independence as a liaison with internal and external contacts and in preparing meeting materials, minutes, programs, updates, recruiting and other support functions related to work areas.
  • Provide support to the CAO and CEO as it pertains to board relations and fundraising.
  • Responsible for specific projects/programs whether self-initiated or initiated by the CAO which may involve planning and coordinating work, analyzing data, preparing reports, making recommendations and other duties associated with the successful completion of a project/program.
  • Collaborate with department to create annual projected revenue and expense budget
  • Assist with fundraising campaigns and follow-up as needed.
  • Provide input on fundraising strategies
  • Attend and assist with Advancement events
  • Manage cultivation plans for Chief Advancement Officer and CEO
  • In collaboration with the CEO and CAO, develop and execute strategies for the Board of Directors to participate in volunteer fundraising and engagement activities.
  • Lead prospect research
  • Donor Stewardship and Gratitude; Ensure best practices, strategic thinking, and implementation of donor engagement, stewardship, and gratitude efforts
  • Manage donor engagement events; brainstorm strategies, coordinate and execute the planning both in-person and virtual.
  • Manage the expense and revenue budgets for all Advancement events as well as other administrative functions including RSVPs, mailings, etc.
  • Manage development of the Annual Report, bi annual donor reports, and additional donor communications outside of annual fund (mailings)
  • In collaboration with the CAO, this position will be supporting communications efforts and strategies, both internal and external, working collaboratively across depts, and will sit on a cross functional communications team. They will be the point person for external contractors as theyre needed i.e. graphic design, web development
  • Other duties as assigned by the CAO


Our Ideal Candidate will have:

  • A Bachelor's degree in a relevant field such as Business Administration, Nonprofit Management, or a related area.
  • 3 years experience in fundraising management, administrative support and budgeting.
  • Strong computer skills including familiarity with word-processing, spreadsheets and database applications
  • Professional level of written and verbal communication skills and organizational skills
  • Outstanding organizational, analytical, prioritization, judgment, and problem-solving skills within a fast-paced environment
  • Capacity to prioritize workload, meet deadlines and manage multiple projects simultaneously while paying close attention to detail
  • Ability to work well with others and be a team player
  • Ability to follow written and verbal direction
  • Ability to interact positively and professionally with clients, co-workers, administrators and members of the public from widely divergent cultural backgrounds
  • Ability to work with confidential information and maintain the privacy of the material
  • Proficient in Microsoft Word, PowerPoint, Excel, Gmail, Google Docs and other common computer skills.

This position is in-person, with work performed at the Family Promise of West Michigan administrative building in Grand Rapids. The Advancement Operations Manager must be available to work full-time hours, including weekends and after-hours as needed.
