We are seeking a highly skilled AP/Purchasing Specialist to play a critical role in our finance team. This position is responsible for overseeing vendor relationships, processing invoices, and ensuring timely payments while collaborating closely with both our U.S. and Mexico-based teams and departments.

We are looking for an exceptional finance professional someone who is honest, self-motivated, detail-oriented, and capable of managing procurement and payables with precision and efficiency. As the AP/Purchasing Specialist, you will have the opportunity to streamline purchasing workflows, optimize vendor management, and contribute to the financial stability of our growing operations. This is a remote position, following standard Monday-Friday business hours, and while we welcome applicants from various locations, our ideal candidate will be based in Austin, TX to facilitate close collaboration with our leadership team.

Responsibilities

  • Process accounts payable transactions, including invoice verification, coding, and payment processing.
  • Manage vendor relationships, ensuring accurate and timely payments while resolving discrepancies.
  • Oversee purchase order creation, approvals, and tracking to maintain efficient procurement processes.
  • Coordinate with internal departments and & international suppliers to ensure smooth purchasing and payment workflows.
  • Monitor and reconcile AP accounts, ensuring accuracy and compliance with financial policies.
  • Assist in month-end closing processes by preparing AP reports and reconciliations.
  • Identify opportunities for process improvements and automation to enhance efficiency.
  • Ensure compliance with company policies, tax regulations, and industry best practices.
  • Support audits and financial reviews by providing necessary documentation and explanations.
  • Maintain accurate records of vendor contracts, invoices, and payment schedules.

Qualifications

  • 2+ years of experience in accounts payable, purchasing, or similar finance-related role.
  • Bachelors degree in Accounting, Finance, Business Administration, or related field (or similar work experience).
  • Strong knowledge of AP processes, invoice matching, and procurement best practices.
  • Proficiency in accounting software (e.g., QuickBooks, NetSuite, or similar ERP systems).
  • High attention to detail with strong organizational and problem-solving skills.
  • Ability to manager multiple priorities in a fast-paced environment.
  • Self-starter, skilled at multitasking and able to prioritize work and meet deadlines.
  • Ability to communicate accurately and clearly.
  • Able to work well under pressure, establish priorities, and meet deadlines.
  • Spanish-speaking skills are a plus but not required.
