Assistant Director of Operations-Environmental Facilities Maintenance

Job Overview:

Under the general guidance of the Director of Operations, the Assistant Director of Operations will perform a variety of account management responsibilities that involve but are not limited to the planning, coordinating, evaluating, and directing the maintenance and operation activities for a multi-site health care account. The Assistant Director must ensure that all services meet and are compliant with the client’s health care standards, as well as any company, local, state and federal regulations.

Responsibilities:

  • Develop and execute strategic programs in support of operational initiatives and requirements.
  • Analyze and interpret financial data related to service performance to control costs and ensure profitability.
  • Direct, train, develop and coach team members to perform necessary operational activities to ensure customer satisfaction.
  • Establish plan of action, allocation of staffing resources, to ensure operational efficiency consistent with operational goals.
  • Train staff members to be in compliance for OSHA, JCAHO, and DOH inspections.
  • Participate in departmental work planning and goal setting for the coordination of short- and long-term projects.
  • Develop and implement departmental policies, procedures to optimize operations services and enhance customer satisfaction.
  • Assist in the development of key performance indicators (KPI) and quality measures to evaluate and improve workflow and operations.
  • Respond to emergency calls during non-business hours, including on-site as deemed necessary, and recommends corrective measures.
  • Proactively raises opportunities to clients and seeks additional business whenever possible.
  • Visit sites frequently to connect with team members, evaluate processes and implement effective solutions, as necessary.
  • Ensure performance and quality requirements are met by communicating regularly and effectively with vendors, clients, and staff.
  • Monitor compliance with contractual and regulatory requirements.
  • Works with management to assure billing is being completed promptly and properly.
  • Enter and update all information concerning billing, such as new codes, price changes and/or increases, etc.
  • Review internal controls to ensure proper billing of services within established time frames and guidelines.
  • Assist with completing, analyzing, sharing, and presenting operational metrics to staff and clients.
  • Perform regular inspections and evaluations of the facility to recommend action items and relocations.

Qualifications and Competencies:

  • High School Degree required; College degree desired or equivalent work experience.
  • Must have 5-7 years of prior progressive management experience in a janitorial or facilities position in a health and environmental services environment.
  • Knowledge of and ability to train on compliance for OSHA, JCAHO, and DOH and other regulatory agencies.
  • Strong relationship building skills, specifically able to build effective relationships with building management, other facility teams, client representatives, CBS staff and management.
  • Experience with managing in a union environment and labor relations highly desired.
  • Strong computer skills and knowledge of Microsoft Suite.
  • Excellent timekeeping, personnel record management and payroll skills.
  • Must have attention to detail and a high standard for accuracy.
  • Self-starter able to work with a high degree of urgency and under pressure to meet deadlines.
  • Able to work in a fast-paced environment prioritizing multiple projects while driving team productivity.
  • Strong communication skills both written and verbal.
  • Professionalism and actively contributes to a positive work environment.
  • Ability to coach and elevate any obstacles or concerns appropriately.
  • Excellent leadership qualities that motivates others in an optimistic manner.
  • Strong client relations, with maximum service and quality standards.
  • Excellent stress management, administrative, organizational, and follow-through skills required.
  • Ability to travel to various job locations.
