A day in the life:
- Process job setups and document and process job closeout
- Communicate day to day activities of the employees with the Field Supervisor and maintain a physical schedule of events
- Assist with coordination and scheduling of sub-contractors and deliveries (i.e., crane lifts, equipment rentals, deliveries)
- Process monthly AIA, change orders, etc.
- Assistant in business development including tracking bids, collecting and analyzing sub-contractor bids, entering bid proposals into HubSpot, etc.
- Become proficient at entering and retrieving data from the Interstate AC Service operating system and document storage system (Sage Construction or Procore)
- Order and track equipment for sales and field personnel; provide updates to PMs and field supervisors
- Complete and file permits, call-in, and track inspections, as requested
- Gather and copy job close-out data (O&M documents, As-built drawings, and air balance reports) for delivery to the customer
Requirements:
- Current or previous work experience in the Construction or Building Service industry providing administrative support
- Service coordination or project management experience for a service contractor (preferably mechanical and plumbing)
- Ability to work independently without direct supervision
- Courage to make informed decisions without outside input
- Organizational and superior follow-up skills
- Ability to handle a fast-paced workload and work under pressure with last-minute time constraints
- Ability to deal diplomatically and communicate effectively with internal and external customers
