The Project Operations Coordinator role is a key administrative position providing overall support to the project. The position requires professionalism, and the ability to multitask and communicate effectively in a fast-paced, dynamic environment. This important role assists the Superintendent and project team by providing quality work, organization, and superior recordkeeping. To be successful in the position, the Project Operations Coordinator must be detail-oriented and can adapt to an ever-changing environment.

DUTIES AND RESPONSIBILITIES

  • Work directly with the Superintendent and project team to ensure all projects are delivered on time, and within the scope and budget
  • Process daily time and daily quantity entries for assigned projects
  • Update and maintain project reports
  • Maintenance of all project logs using Microsoft Office Suite
  • Assist in the maintenance of tracking sheets and vendor invoices in SharePoint and other locations as needed
  • Complete new hire packets for union employees
  • Attend project meetings (when necessary) and take accurate notes/meeting minutes
  • Assist the Superintendent and Project Manager with preparing meeting agendas and other documents
  • Process field checks for union labor employees as required
  • Accounts Payable liaison for projects, including coordination of field tickets, hotel rentals, and rentals as needed for Accountings Payable processing and updating vendor payment information
  • Receive and sort incoming mail and deliveries, and manage outgoing mail
  • Assist project team with miscellaneous clerical tasks

QUALIFICATIONS/EXPERIENCE

  • Minimum of 2 years of administrative experience required
  • Union payroll knowledge a plus

  • Ability to work in a fast-paced environment while prioritizing multiple tasks or projects
  • Proficient written & verbal skills, attention to detail
  • Proficient in Microsoft Office Suite and computer-based applications
  • Valid Driver’s License Required

POSITION TYPE/EXPECTED HOURS OF WORK

This is a full-time position, and the work week for employees is normally considered 40 hours Monday through Friday. Flexibility is required to support time-sensitive issues as they arise. However, greater emphasis is placed on meeting the responsibilities assigned to this position.

WORK ENVIRONMENT

Work is performed in a non-smoking office. Work conditions are primarily indoors; however, fieldwork and travel are a significant portion of the role. Overnight stays can be expected depending on the project and/or business demands.

PHYSICAL REQUIREMENTS

The physical requirements must be met by an employee, with or without reasonable accommodation, to perform the essential functions of this job successfully.

Employees must have the ability to:

  • Sit (or stand) for prolonged periods of time
  • Occasionally lift up to 50 pounds
  • Occasionally bend, twist, squat, and kneel
  • Occasionally walk up and down the stairs
  • Demonstrate visual acuity with or without corrected vision
  • Demonstrate hearing acuity with or without corrected hearing
  • Must be able to walk outdoor construction sites with uneven terrain and obstacles
  • Must be able to work in a variety of weather conditions
