Founded in 2004, Thomas Mechanical is an independently owned, growing full-service mechanical contractor focused on delivering turnkey HVAC and mechanical services to a strong base of commercial and industrial customers. Thomas Mechanical is located conveniently along interstate 385 in Laurens County, South Carolina and services a wide range of customers throughout the Upstate of South Carolina. We are currently operating in a new 20,000 sq. ft. state-of-the-art facility. Come join our team!
RESPONSIBILITIES:
The duties and responsibilities of this position include, but are not limited to:
- Manage construction contracts -organize all customer contracts and maintain a log of all contract value changes. Order COI’s, bonds and other documents required to start up a project. Receive, organize and distribute all documents for new and ongoing projects. Request surety bonds at the end of each project.
- New project setup-utilize ProCore and Quickbooks to keep project information current and accessible to project managers. Prepare applications for permits with assistance from the Project Managers and submit them to proper permitting agencies. Keep a worksheet of all current permits and coordinating PIN numbers needed for inspections.
- Job costing-ensure estimated costs (original and current) are entered into the accounting software by cost code and input all purchase orders and subcontracts as a committed cost for each job. Prepare weekly WIP reports showing job costs for each project.
- Billing-track and ensure all active projects are billed on time each period. Prepare and submit all billing documents. Coordinate with the Project Managers to ensure all justifiable costs are billed each period. Receive lien waivers for pay applications from the correct vendor and submit them to the General Contractor to ensure timely payment.
- Collections-track and ensure all payments are received per contractual obligations. Contact customers to inquire about outstanding invoices and identify and eliminate obstacles preventing payment. Coordinate with the Project Managers on outstanding retainage requests to identify documents or circumstances that are holding up payment.
- Reports-prepare a daily/weekly report of time for temporary workers and reconcile with vendor invoices. Prepare and distribute a daily time report using GPS and ProCore and alert Project Manager to any discrepancies on employee time per job.
- Manage contacts-create and manage the vendor and customer directory.
REQUIREMENTS:
- Experience in contract management with a strong preference towards the construction industry.
- Minimum 2-year college degree in a related field or comparable industry experience.
- Demonstrate a team-first attitude and eager to take on new challenges.
- Strong communication and organizational skills.
- Work efficiently in a team environment.

SCHEDULE:
- Monday-Friday (8:00 am – 5:00 pm)
WORK LOCATION: Laurens, SC.
- Employee will be expected to work inside the office daily.
JOB TYPE:
- Full-time (40 hours) permanent position
