Role of the Project Coordinator:

 

The Project Coordinator works directly with the Project Manager, Superintendent and Designer. Assists the Project Manager to create a smooth interface between vendors and subcontractors. Project Coordination role includes: solicit bids, write purchase orders, entry of information into the construction and accounting software, code invoices, interface with subcontractors vendors and designers, plan management, creates bid packages and maintains Scope of Work documents.

 

The Project Coordinator assists Project Manager with project buy out and vendor selection. Communicates with clients, building managers, architects, engineers and municipal permit departments. Responsible for document control and plan tracking. Vetting new vendors. Supplies new vendors with insurance requirement package.

 

Attends and keeps notes of the customer update and site meetings with the PM. Is the second point of contact, after the PM, with the customer, relays all customer conversations with the PM.

 

Specific Duties:

 

Project Coordinator will assist the Project Manager with:

  • Schedule and attend pre-construction and jobsite meetings.

  • Attend subcontractor “walks” on the jobsite to review the scope of work for proposal receipt.

  • Responsible for the assembly of the job start package which would include but not limited to construction drawings, specs, purchase orders, permits, ID drawings and schedule. Responsible for the updating of site documents and review with Superintendent.

  • Review plans with the PM before permit submittal for omissions.

  • Is jointly responsible for project “daily update” using the construction software in place.

  • Jointly responsible that the job closeout procedure is complete and assembles client warranty binder.

  • Takes jobsite photos, identifies and put them into project software.

  • Ensures all data on construction software is current and available to field personnel.

  • Develops and maintains punchlist as requested.

 

Customer Management:

 

  • Meet with the PM frequently to review schedule, budget and selections.

  • Selections - is there anything missing or requires long lead times.

  • Address and assist to resolve all customer issues.

 

Computer Skills:

 

To perform this job successfully, the Project Coordinator should be proficient in Google Workspace, Microsoft 365, and Adobe. Experience with CoConstruct or Builder Trend is a plus.

 

Education/Experience:

 

Residential construction experience is a plus.
