SUMMARY:

The Project Coordinator in Facilities Management plays a pivotal role in executing demand services, managing resources, ensuring client satisfaction, and handling special projects. This position is responsible for coordinating all aspects of service delivery, from scheduling to invoicing, and ensuring that all services are completed within client and internal timeframes. The Project Coordinator will also recruit and onboard contractors as needed and provide exceptional customer service to meet both client and organizational needs.


Primary Responsibilities:


Executing Demand Services:

  • Schedule services for assessment within required timeframes.
  • Prepare and send proposals to the Construction Manager for review and approval.
  • Order the necessary materials for approved services and ensure timely delivery.
  • Reconfirm all scheduled services 24 hours in advance and perform follow-up calls post-service.
  • Prepare completed work orders with incurred costs and client pricing.
  • Collect all necessary documentation for client invoices.

Resource Assignment/Recruiting:

  • Assign and staff services, escalating issues to the Construction Services Manager as needed.
  • Recruit and onboard additional contractors and suppliers for services.
  • Research and source materials when necessary.

Customer Service:

  • Respond promptly to client inquiries related to assigned services.
  • Participate in client conference calls as needed.
  • Update client third-party platforms per client expectations.
  • Resolve any service issues within designated timeframes.

Additional Responsibilities:

  • Prepare reports for weekly meetings with the Construction Services Manager, including:
    • Prioritized action items.
    • Service and resource issues.
    • A report summarizing unscheduled, scheduled, and completed services.
    • Services completed outside of margin expectations.

Special Projects:

    • Take on additional responsibilities or special projects as required.
    • Assist other departments as necessary based on business needs.

Qualifications:

  • Experience in project coordination, preferably in the facilities management or construction industry.
  • Strong organizational skills and attention to detail.
  • Excellent communication and customer service skills.
  • Ability to manage multiple tasks and prioritize effectively.
  • Proficiency in Microsoft Office Suite and other relevant software.
