Contract Coordinator

Primary Purpose:

  • Responsible for maintaining Choice Partners contract files, board agenda items and disseminating contract information to members and vendors. May assist in general inquires.
  • Qualifications:

    Education/Certifications:

  • Bachelor’s degree from an accredited university in business or related field
  • Professional certification in purchasing preferred, such as Certified Public Purchasing Buyer (CPPB) or Texas Association of School Business Officials (TASBO)
  • Special Knowledge/Skills:

  • Ability to effectively utilize computers and software including Microsoft Office suite and other software required by the division
  • Ability to work with numbers in an accurate and rapid manner
  • Ability to organize, prioritize, meet established deadlines and handle multiple tasks
  • Ability to maintain accurate and auditable records
  • Ability to communicate effectively (verbal and written) using proper English grammar
  • Experience:

  • Experience with private or public purchasing preferred
  • Major Responsibilities and Duties:

  • Establish and maintain Choice Partners (CP) contract files, paper files and electronic files as outlined by division procedures.
  • Ensures timely renewal or cancellation of annual contracts as dictated by Contract Managers.
  • Ensure notification of newly awarded vendor contracts.
  • Ensure notification of renewed or canceled vendor contracts.
  • Process executed contracts-copy for CP files and copy to vendor.
  • Handle incoming inquiries, correspondence and documents.
  • Update division software/database with program, member, and vendor information.
  • Assists the Client Services Manager and the Client Engagement Staff in maintaining an accurate database of membership and with research and resolution of issues related to the contract process.
  • Assist contract managers with public bid opening duties as assigned.
  • Maintain all insurances and licenses required for vendor contract files.
  • Participate in conferences and vendor shows to represent CP/HCDE as assigned.
  • Maintain good public relations with all parties for cooperative services.
  • Provide excellent customer service to all parties.
  • Maintain confidentiality.
  • Maintain a positive attitude and a neat and professional appearance that exemplifies confidence and professionalism.
  • Be familiar with and assist with duties assigned to other CP personnel when necessary.
  • Perform other duties as assigned.
