POSITION SUMMARY
The Deputy Director, of Construction Operations will provide high-level administrative, planning, and coordination support to the senior Vice President of Construction.In addition, the Deputy Director of Construction Operations will manage and perform a diverse set of support tasks that include but are not limited to special project management, managing client communications, providing support for the construction operations, and action tracking and follow-up to ensure mission completion.The Deputy Director of Construction Operations will ensure the organization and its facilities have the resources needed to operate smoothly and efficiently, and support scalability in the organization.
ESSENTIAL JOB FUNCTIONS
Supervisory Responsibilities:
There are no current supervisory duties, but in the future the Deputy Director, of Construction Operations may recruit, interview, hire, and train staff in the department as needed.
Executive Administration:

  • Provides high-level logistical, administrative, and project management support to the Senior Vice President of Construction.
  • Take minutes and captures all action items at meetings; follows up and holds Construction leaders accountable for completion.
  • Schedules and attends weekly, monthly, and quarterly Construction team meetings.
  • Coordinates executive travel and arrange logistics for a wide range of events, including special meetings, Client meetings and other Construction team meetings.
  • Format documents for Executive presentations, including Project Review meetings, Construction All Hands meetings, and reporting up the chain of command.
  • Ensures staff, customers, partners, and visitors are received warmly by the Construction Group, and that all requests/messages to or from the parent company CEO and/or Aleut Federal President are rapidly addressed.
  • Ensures meeting rooms are properly set up in coordination with IT (e.g. telecom and projected slides, presentations) for all meetings.


Office Administration:

  • Develop and maintain relationships with leasing agents for all Construction group offices, building management/security, and any external vendors who support office functionality.
  • Assists with onboarding of new employees in the Construction Group; greet new hires in person (Reston) or virtually (Remote), coordinate equipment, supplies, and software for new hires.
  • Reconciles the Senior Vice President of Construction's monthly corporate credit card statement and provides backup to finance.
  • Prepares expense reports for the Senior Vice President of Construction.


Program Management/Coordination:

  • Create business process and accompanying documentation plan to ensure all critical Construction Group records, including project files, project management reviews, meeting minutes, financial reports are current and active.
  • Track progress against timeline/deliverable schedule for Construction team and report to Senior Vice President of Construction.
  • Assist with proper and timely payment of consultants/vendors.
  • Create and manage the master calendar for the Construction Group, specifically bid due dates and other important engagements (i.e. networking events).


EDUCATION/TRAINING

  • Bachelor's degree in Business Administration or related field preferred.
  • A minimum of 5 years of related experience required.
  • Extensive experience working with executive level Construction professionals.


QUALIFICATIONS

  • Excellent verbal and written communication skills.
  • Excellent interpersonal and organizational skills and attention to detail.
  • Expert-level time management skills with a proven ability to meet deadlines.
  • Ability to function well in a high-paced and high-stress environment.
  • Extensive knowledge of office administration, clerical systems and procedures, and recordkeeping systems.
  • Superior ability to identify and solve problems and to conduct cost-benefit analyses.
  • Experience reading and interpreting Construction financial data (Cost to Complete, Work in Progress Report, Income Statement, etc.) a big plus.
  • Extremely proficient with Microsoft Office Suite or similar software with the ability to learn new or updated software.


WORK ENVIRONMENT

  • Some evening work may be required during high-priority deadline times, special events, and when clients, bonding company representatives, or other dignitaries are in town.
  • The position is considered hybrid with primary physical presence in the Reston HQ office.
