We are a well-established digital agency that enables companies to offer white-label online products to their customers. Our Pewaukee-based corporate office is seeking a full-time, experienced, detail-oriented and personable Digital Project Manager/Office Manager to join our on-site team in Pewaukee, WI.

The ideal candidate will have knowledge of or experience in a design firm, creative agency, digital agency, print company or technical business. This role combines project management, team coordination, and leadership to guide our production staff in achieving quality and production goals.

A minimum of 2-4 years in a management/supervisory role is required to be considered for this position. A successful candidate must have a proven track record of managing people and producing projects with respect to deliverables and technical, digital solutions, or equivalent experience. A proven ability to manage and lead with metrics, KPI’s, collaboration and quality.

In addition, the ideal candidate must have a player-coach mentality and be able to lead-by-example and perform as a contributing team member for our many partners across the US, Canada and the Caribbean.

Description of Essential Duties:

· Serve as the liaison between project managers, design, development, content and SEO teams for all project scheduling, tracking, quality and status

· Collaborate with our Digital Project Managers and developers to establish project milestones and timelines, ensuring effective resource management across multiple projects

· Collect and analyze project requirements to structure projects and coordinate with development resources in the most efficient and cost-effective manner

· Work closely with cross functional teams to manage production work and coordination of all creative assets

· Manage resources and projects to meet agreed upon timelines

· Establish daily prioritization of tasks, projects, and deliverables

· Monitor project progress by tracking schedules, communicating changes and status, expediting requirements, and resolving problems

· Assist in the preparation of reports, presentations, and other documents as needed

· Implement and enforce office policies and procedures to maintain a safe and efficient work environment

· Assist in onboarding new employees, including setting up workstations, providing materials, and leading training sessions

· Coordinate with accounting department for financial reporting and audits

· Foster positive working relationships among team members and departments through effective communication and collaboration

· Act as a liaison between management and employees, relaying important messages and facilitating feedback channels

Leadership & Management:

· Communicate to fully inform all management members and departments (project managers, design, development, content and SEO teams) about up-to-date workflow schedules, changes, priorities and results

· Maintain overall quality control and initiate best practice improvements, QA production jobs prior to releasing and prior to routing for final client approvals

· Enforce processes by utilizing and requesting that all departments use proper documentation, procedures, communication, etc

· Communicate scheduled deadlines and provide warnings when delivery dates may be in jeopardy

· Conduct quarterly and annual reviews to assess the skills, abilities and KPI’s of individuals in the creative, production, development, and client account management departments

· Expedite all “rush jobs” assuring all interim and final deadlines are met

· Establish and maintain a positive relationship with internal teams, ensuring that goals and expectations are met, and any issues or problems are resolved in a timely fashion

· Maintain a positive attitude while being solutions-oriented

· Compile and distribute daily updates and weekly status reports

Skill and Competence Requirements:

· Bachelor’s Degree or equivalent work experience combined with some higher education

· 2 - 4 years of office management or operations management experience

· Excellent process, project management, technical, written, and verbal communication skills

· Detail-oriented with excellent organization, time management, and problem-solving skills and addressing issues before they arise

· Resourceful problem solver with a can-do attitude

· Team player who thrives in a collaborative environment

· Adaptability to handle changing priorities and thrive in a fast-paced work environment

· Strong leadership qualities with the ability to motivate and support others

Experienced in:

· Driving deliverables to completion, holding team members accountable for individual tasks

· Managing multiple projects with competing deadlines

· Working with various data collection and retrieval systems

· Ability to work under tight, date-driven schedules while maintaining high quality and teamwork
