Document Controls Specialist

The Documents Controls Specialist is responsible for retrieving, storing, maintaining, and managing technical data in various paper and electronic formats. The Documents Controls Specialist works closely with various resources to prepare, submit, and dispense technical documentation for new and existing projects and/or programs. Responsibilities Overall responsibility for developing, managing and maintaining the document control systems for the project and/or program. Develops document management policies, procedures and processes. Assures project participants are trained in document management policies and procedures and comply with usage of related software, systems and tools. Assist the Program or Project Manager with writing meeting agendas and meeting minutes.Excellent Communications and Interpersonal skillsAble to work effectively with Microsoft Office suiteExperience and understanding of web based Electronic Document Management Systems (EDMS) or Program Management Information System (PMIS) tools like ProjectWise, Share Point, Aconex, Expedition or Skyre.Provide help and assistance to end users in the proper usage of document management tools.Overall responsibility for managing all incoming and outgoing documents for the projects and the program.Process all documents, drawings, records, reports, correspondence, submittals, RFIs, etc in a timely manner.Maintain updated and accurate logs for submittals, RFIs, Change Orders, Issues and Ball-In-Court (Action Items) and follow up to ensure that all responsible parties are acting and processing the documents in a timely fashion. Qualifications High School Diploma or GED (required)Bachelor’s Degree or equivalent experience (preferred)6 years of experience in Document management on engineering or construction projects (preferred)3 years of experience using any Electronic Document Management System (EDMS) like SharePoint, PMWeb, ebuilder, Aconex, Primavera Contract Manager, Skire or Proliance (required)Must be able to work 8 hours per day Monday through Friday between the hours of 8am to 5pm and occasional overtime as requested or neededMay require lifting and processing of documents, reports, drawings, and submittals from contractors and/or design consultants Preferred Qualifications Pape-Dawson Engineers is an AA/EEO employer
