Background

M+D is leading a number of conference program and editorial initiatives for high-profile media, finance, and technology clients that feature renowned international speakers from business, government, investment, technology, and civil society. Our firm is responsible for designing and developing the communications strategy, program content, speakers, and audiences for global forums, including mainstage programming, topic-driven breakout sessions, VIP community development, related multimedia content, and , partner/sponsor, and community management.

Job description

As part of this effort, we are looking for an editorial project manager, researcher, and administrative assistant to ensure that the program – and overall project – is moving forward successfully and on deadline. The project manager will coordinate calls with related teams, manage tracking sheets and databases to ensure high-quality real time reporting (in several formats) to multiple client and partner stakeholders, react to client and stakeholder requests for program and logistics information; produce PowerPoint presentations to update stakeholders on program status; prepare executive briefings; etc.

Editorial and/or journalism previous job experience is a must, and international job experience is highly taken into consideration. The ideal candidate will have experience working in diverse environments, adapting to cultural , and managing international relationships. Strong skills and a global mindset are essential for this role. Candidates will have superior organizational skills, proficiency in global affairs and current events, and working knowledge of business trends and marquee-name speakers, such as global CEOs, government officials, and thought leaders, etc.

This is a remote position, with the majority of work done from home or another location of the employee's choice. However, the candidate would be ideally based in the New York City or New Jersey area for occasional in-person meetings. The ability to travel to these meetings is required, and the candidate should be within a reasonable commuting distance to the designated meeting location. The majority of communication and collaboration will be conducted virtually, so the successful candidate must be comfortable with remote work and possess excellent communication and collaboration skills.

Scope of work

  • Schedule calls across time zones with VIP teams and internal stakeholders
  • Manage technical aspects of internal and external meetings as needed (Zoom links, agenda creation, etc.)
  • Monitor and track progress on and program development on Excel spreadsheets
  • Create PowerPoint presentations to update project status, especially confirmations
  • Bespoke research into speakers, topics, themes, and additional topic areas, as directed
  • Manage coordination of project timelines and deliverables in partnership with internal and external teams
  • Take notes on internal and external meetings to ensure successful project management
  • Support internal and external email communications as directed
  • Coordinate with various production teams to manage workflow from editorial/program teams to live-event production teams
  • Coordinate on-the-ground preparation and logistics to ensure successful in-person community management
  • Be available off-hours to accommodate foreign time zones (within reason, TBD)
