Relocation or commute required**Join Our Team as Executive Assistant and Program Manager!Lake Region Arts Council in Fergus Falls, MN is looking for a motivated and experienced Executive Assistant and Program Manager to join our team. As a Executive Assistant and Program Manager, you will play a vital role in helping artists and arts organizations in our region, and ensuring efficient operation of the LRAC.About Us:Lake Region Arts Council (LRAC) serves the counties of Becker, Clay, Douglas, Grant, Otter Tail, Pope, Stevens, Traverse, and Wilkin in west-central Minnesota. We are dedicated to supporting and promoting the arts in our region through grants, programs, and services that enhance the quality of life for all . LRAC is a nonprofit corporation, governed by an 18-member Board of Directors, and we have 3 full-time staff members. Our mission is to encourage and invest in the arts by providing funding, fostering collaboration, and advocating for the arts in our west-central Minnesota communities.The Executive Assistant and Program Manager Position:This job is located in Fergus Falls, MN. Relocation or commute is required, and a hybird work schedule is negotiable. Tech equipment is provided. The job is full-time and the compensation is $22-$25 per hour, depending on experience. The position is benefitted, including company-funded HRA and retirement, vacation and sick leave. Work hours: 8 AM to 4 PM Monday through Friday, occasional evenings and weekends.Executive Assistant and Program ManagerDirectly responsible to the LRAC Executive Director.Specific Responsibilities:Executive Assistant/Clerical
- Maintain office environment, answer phones and emails, process mail, respond to inquiries about LRAC programs and services.
- Assist with the maintenance of the LRAC virtual and hard copy files and other clerical duties as assigned by the Executive Director.
- Assist with coordinating contracted staff who manage and maintain the LRAC Arts Calendar, ArtsNews, Artist Registry, website and social media.
- Assist Executive Director in preparing and sending LRAC reports and proposals to funders.
- Assist Executive Director in implementing LRAC programs, such as Annual Meeting and other public events.
- Prepare electronic Board meeting packets and send to Board members.
- Take minutes at the monthly LRAC meetings, type, file and send to Directors.
Public Relations:
- Coordinate the public relations strategy for LRAC, including email, newsletters and announcements, press releases and other external communications.
- Convey a positive image of the LRAC to the public and to LRAC clients.
Artist Mentor Program Management:
- Coordinate and implement all phases of the Artist Mentor program
- Contact all schools in the region
- Create, finalize and distribute application materials
- Oversee student application process
- Select jury sites and jurors
- Schedule and conduct the jury sessions and final student selection
- Pair selected students with mentors or learning experiences
- Oversee completion of student and mentor reports and contracts
- Keep accurate records of all processes
Artist Cohort, Program Coordinator:
- Coordinate and implement all phases of the Artist Cohort program
- Design and publicize the Artist Cohort Program in the region
- Create, finalize and distribute application materials
- Oversee application process
- Schedule and conduct the interviews and final artist cohort selection
- Organize, schedule and contract with individuals who will work with the cohort members
- Guide cohort members to completion of program workshops, counseling sessions, artist opportunities, and peer support
- Oversee completion of reports and contracts
- Keep accurate records of all processes
Any other functions pertaining to maintenance of a pleasant and efficient office environment, as specified by the Executive Director.Qualifications/Education: A relevant bachelor’s degree or equivalent experience.Required Experience and Qualities:
- Computer skills, including working knowledge of Microsoft Office Suite, Google Suite, Constant Contact, HTML, social media applications and others
- Experience in general office functions and procedures and ability to work with the public
- Excellent communication and organizational skills
- Program and event management,
- Ability to write standard business English
