PATH is seeking to recruit a Facilities and Operations Associate who will provide support to facilities and operations department and oversee the management of the office storage space. He/she will be responsible for coordinating facilities services, space allocation, general office maintenance, tracking and updating of PATH asset’s database, monitor vehicle utilization, maintenance and generate monthly reports.TheFacilities and Operations Associate will be based in Lusaka, and will report to the Country Finance and Operations Director.Responsibilities:Manages facilities for the entire office(s);- Hiring and oversight of facilities equipment maintenance and repairs such as AC maintenance, generator maintenance, copier and AV equipment maintenance, electrical work, plumbing work, fire safety equipment maintenance.Fleet management; - Schedules travel and vehicles for Lusaka based staff, safety and security, Scheduling maintenance for company vehicles.Maintains office supply inventories and may assist in procurement activities.Oversee the management of office storage onsite and offsite.Responsible for the tracking and updating of PATH inventory/ asset database.Follow-up with vendors on equipment that go for warranty checks and repairs.Monitor vehicle utilization, maintenance and expenses and generate monthly reports.Assist in the preparation of faculties procurement documents as requested.Assist in maintaining Administration records, ensuring confidentiality of documents.Review invoices received for facilities such as unities bills, the stationery supplier, and forward to Finance for payment. Ensures prompt payment of facilities bills such as utilities, phones and internet.Prepare workstations in advance of arrival of new employees and ensure workstation is stocked with required suppliesRequired skills and Experience: Bachelor’s degree in Business Administration or related qualification, minimum 3 years’ experience in office / Operations Management.Experience working with office procedures, systems and equipment.Detail oriented, organized, self-motivated, and able to work independently and under pressure.Ability to work in a team environment.Proven ability to work on multiple projects with competing deadlines.Good problem-solving skills.Experience with MS Office (Word, Excel, PowerPoint and Access).Good communication skills, both verbal and written.Ability to interpret and implement policies and guidelines.Ability to recognize sensitive areas and maintain confidentiality of information.Requires broad cross-cultural experience, understanding and sensitivity.
