About Your Role
As Fleet & Procurement Manager, you will oversee our entire vehicle fleet while managing the procurement process for vehicles, equipment, and supplies. You'll be responsible for maintaining fleet efficiency, controlling costs, and ensuring our vehicles are properly maintained and compliant with all regulations. Additionally, you'll be responsible for procurement of rental items and inventory, developing and maintaining vendor relationships while securing the best pricing and terms for company purchases.

What's a Typical Day Look Like?
Your day involves monitoring fleet status, coordinating maintenance schedules, processing procurement requests, and negotiating with vendors. You'll work closely with operations teams to understand their needs, manage vehicle assignments, and ensure all purchases align with company requirements and budgets.

What You'll Do
Your duties include, but are not limited to:

  • Fleet Management: Direct all aspects of fleet operations, including maintenance schedules, DOT compliance, licensing, and registration requirements.

  • Vehicle Lifecycle Management: Oversee the acquisition, maintenance, and eventual disposal of fleet vehicles, optimizing for total cost of ownership.

  • Procurement Strategy: Develop and implement procurement strategies for vehicles, equipment, and supplies while maintaining strong vendor relationships.

  • Cost Control: Monitor and analyze fleet operating costs, fuel management, and procurement expenses to identify savings opportunities.

  • Vendor Management: Source and evaluate vendors, negotiate contracts, and maintain relationships to ensure competitive pricing and reliable service.

  • Driver Safety Program: Manage driver qualification files, coordinate required training, and monitor driver performance and compliance.

  • Purchase Management: Process and track purchase orders, maintain accurate records, and reconcile procurement documentation.

  • Inventory Planning: Work with operations teams to forecast needs and maintain appropriate inventory levels of frequently purchased items.

  • Data Analysis: Track and analyze fleet metrics, procurement data, and vendor performance to optimize operations and control costs.

 

What We're Looking For
You combine strong fleet management experience with procurement expertise and analytical skills.

  • You have 3+ years of progressive experience in event operations or related field

  • You have experience with DOT regulations and compliance requirements

  • You’ve got a background in vendor management and contract negotiation

  • You’re an experienced user of procurement and inventory management systems

  • You have knowledge of and experience with safety regulations and OSHA requirements

  • You have a strong understanding of the event rental, hospitality, or related industries

  • You are a skilled negotiator and possess excellent communication skills

  • You have strong problem-solving and decision-making abilities

  • You’re detail-oriented with strong follow-through

  • You are a data driven decision maker

  • You have a proven ability to manage multiple projects simultaneously
