The Quality Assurance Specialist collects, maintains and distributes all documents necessary to ensure conformance to customer requirements; maintains a comprehensive filing system and computer database for all documents to be retained; manages the operation of the document control center to ensure that all users have the latest revision of appropriate documentation in a timely manner. Ensuring that food products are safe, comply with regulatory requirements, and meet both company and customer standards.

Measurements / Performance Indicators
- Ensuring Compliance with Food Safety Regulations
- Maintain food safety and regulatory compliance. This includes ensuring that food products meet strict legal requirements, are properly labeled, and are safe for consumption
- Check and maintain all COAs that are sent via e-mail and/or attached to daily PO receivers from warehouse.
- Make sure every raw ingredient received into warehouse has a COA. Check each COA against the ingredient spec to be sure testing results are within the ranges set on the raw ingredient spec.
- Review daily Production and QC/QA paperwork and sort it by date and shift for completeness and file once reviewed.
- Return incomplete paperwork.
- Supplier, ingredient Approval
- Make sure all organic ingredients received, and product are approved.
- Send out yearly vendor packets to all suppliers for review in order to keep their “approved” status.
- Finished Product Approval
- New product, formulation form is completed
- Obtain required documents before any IPTR’S can take place
- Scan PO receivers from warehouse and save to file on computer.
- Ensure monthly locker inspections are completed.
- 3rd party approval (Organic, Non-GMO, Vegan, Kosher, Gluten free, and so on)
- Ensure Product are approved by the CB and communicated with the product manager.
- Prepare organic paperwork for yearly 3rd party audit
- Audit Preparation; GFSI/Customer audit
- Ensure that audit document and the on-site audit are ready
- Issue USMCA certificate, and COSTCO USMCA
- Ensure that the approval will be made in timely manner
- Export License/Permit
- Support the Sales and Marketing teams with documentation for exports.
- Customer QA/Regulatory portal Site Management
- Communicate with marketing/sales and customer’s QA to complete the tasks
- Attend weekly Club Core team meeting, Retail Core team meeting, BOM meeting and weekly S&OP meeting,
- Make sure monthly Glass and Brittle plastics audit is conducted on a monthly basis.
- Review all new or revised existing product labels to make sure they are compliant with USDA, FDA, and/or Organic regulations.
- Send out status report once modifications requested by USDA
- Complete label proof inspection form and route for signatures.
- Obtain approval from cross-functional team before releasing production
- Maintain several registers and history of revisions required by SQF.
- Work with QA Head
Skill/Qualifications:
- Bachelor’s degree in microbiology, Food Science, Chemical Engineering or a related field.
- 5+ years of relevant work experience.
- GFSI Audit and QA Regulatory Experience
- Food safety training and certificate programs
- Excellent verbal and written communication skills.
