Health Safety Supply Chain Supervisor
Independently manages health and safety requirements, supplies and small devices ordering, and oversees materials management distribution, services and PPE inventory for McLean Hospital under the direction of the Director of Administrative Services. The Health and Safety Supply Chain Supervisor oversees the staff in Shipping and Receiving, Mailroom, Print Shop, Storeroom and the Messengers. He/She, works collaboratively with the Administrative Services, Purchasing and Materials Management Teams to assure successful, smooth, efficient, and productive distribution of support services for McLean Hospital. He/She, supervises and audits cleaning and inspections of medical devices in collaboration with the McLean vendor. He/She, coordinates the AHA Basic Life Support Program to train staff in the current standards/procedures in CPR and foreign body airway obstructions management, to ensure safe and effective treatment for patients and staff. The Health and Safety Supply Chain Supervisor will also manage the Fit Testing Program and coordinate the support of equipment and ordering of Ultrasound, X-Ray and EKG needs for McLean Hospital. The position will support the Director with any other vendor medical and safety needs and absorb other duties as assigned. Management and Education:Collaborate with hospital department heads and senior management to assure distribution of required needs when projects or initiatives become primary hospital goalsProvide consultation/education and training to health care professionals in the selection, use and maintenance of medical equipmentOversee the messengers, shipping and receiving staff to assure a smooth process of all shipments of supplies, materials, and equipment, including all items that are to be delivered or returned correctly in a safe and cost-effective manner.Ensure team delivers packages to accurate locations in a timely manner, verifies quality, condition, and accuracy of shipment against purchase order and packing slip, especially on multi package or pallet deliveriesEnsure team enters items in PeopleSoft with proper cost center, item details and stakeholder detailsEnsure asset tagging is complete and accurate for all capital equipmentReview and audit all messenger cleaning process for medical devices on the patient halls used for direct patient care, to assure optimal safe and effective use for patients and compliance with the hospital and Joint Commission StandardsManage schedule, audit performance and follow up with assigned messenger staff as needed Supervise the storeroom and mailroom staff and audit perpetual inventory of medical supplies and equipment at the hospital, including pandemic supply. Inspect monthly and audit for expiration and quality, ensure those responsible are accurate in process when neededEnsure mail is delivered accurately and staff work in a professional and courteous mannerEnsure mailroom staff maintain cash management requirements for all postage and mailing services including weekly and monthly deposits to the cash office through financeSupervise print shop staff and review all editing and forms management to ensure compliance to revisions and forms distribution as well as print projects. Oversee print process for cost savings and quality printing practices whether it be with a vendor or staffCoordinate requests from departments with attention to specific requests for bar codes, logo, form number and version date, also to streamline forms to online fillable forms when possibleOversee staff that provide audiovisual services for the hospital and train staff to assure competencies on equipment and setupEnsure that the equipment is tracked, managed and up to date and functioningManage mock code drill program, educate doctors, and staff and provide written evaluation of each drill to instructors and committees for continuous quality improvementCollaborate with the Nursing department to document policies and procedures related to the use of medical equipment and the compliance Consistently work to streamline record retention and improve process with updated technologies as they develop Meet weekly with the Director of Administrative Services and collaborate on staff annual reviews, work closely with the purchasing department for efficient operationsRepresent McLean's mission and values through confidentiality of information, leadership, and management Contribute to effective departmental relations to ensure the quality of care and to promote a positive image of McLean HospitalLeads by example with time managment excellence, professionalism and cost effective measures to effectively aid in the materials managment team working as one cohesive unit to support McLean in patient and residental needs.Readily accepts new responsibilities and assignments or projectsMonitors operations and recognizes when support is needed and escalates for additional supportOffers guidance and assistance to others in need for successful team managementMaintain current knowledge of basic Cardiac Life Support skills and coordinate the Basic Cardiac Life Support Program for McLean Maintain Faculty appointment with the American Heart Association and a contract as a Community Training Center Teacher, teaching classes, processing CPR BCLS cards and maintaining records for McLean.Manage all CPR Instructors Training at McLean. Train all staff in CPR and use of the AED defibrillator. Any employee hired into this position must be certified to teach CPR within 90 days. Manage all medical device requirements for department specific needs as in sourcing for procurement or ordering for ECT, EKG, Ultrasound, X-Ray or other medical advisement needs for McLeanCoordinate additional educational needs for the Medical Clinic and McLean hospital around EKG, Ultrasound, X-Ray or other equipment educational needsWork with the biomedical team or vendor to assure compliance with all Joint Commission Requirements for McLean hospital inpatient and residential programsManage Fit Testing Program, educate instructors and Fit test staff for proper N95 masksCollaborate with the McLean Safety Officer on projects and support needed regarding safety issues and productsOther responsibilities as assigned by Director of Administrative ServicesEquipment:Report on all safety and maintenance medical devices, safety incidents and CPR updates to senior management and maintain compliant recordsApprove medical devices for utilization for IRB protocols per inspection requirementsAudit and review all national recall notifications to assure compliance for medical devices. Recycle stock to correct levels for hospital needs and dispose of current recalled itemsPurchase medical equipment and repair parts with collaboration with biomed vendor and attention to hospital safety standards and policiesEnsure vendor inspects, tests, maintain and monitors medical equipment to assure optimum safe and effective use for patients. Including medical device stickers for expiration and tracking.Audit biomed vendor on medical devices for up to date compliance with expiration and tracking on all recallsValidate biomed vendor records and maintains documentation files for internal and external regulatory agency inspections according to hospital and Joint Commission requirementsApprove and test new equipment and document equipment testing for the hospital and all regulatory agenciesMonitor and report incidents that a medical device is connected to/attributed to the death, serious injury or illness of an individual according to the Safe Medical Device Act of 1990.Maintain first aid kits in Security and IV Kits on inpatient units to be ready in case of an emergency Work with contracted biomedical equipment company to maintain an inventory and complete medical equipment preventive maintenance inspections required by regulatory agenciesAdvise and collaborate with nurse directors to purchase medical equipment for inpatient and residential programsEvaluate code carts to ensure carts are up-to-date with supplies and that all equipment is in proper working order and order necessary replacement items for usage as well as expirations or recallsEnsure educational support and compliance support for EKG, Ultrasound, X-Ray and all Medical Clinical needs for McLean HospitalResponds to calls for delivery or emergency supplies when requestedQualifications High School Diploma Required; College preferredPrior supervisory experience requiredAbility to train staff required AHA CPR Instructor certification requiredFit Testing Instructor ability requiredAbility to lead, supervise and manage other individuals as well as multitask projects at the same timeAbility to communicate to senior management effectively and offer recommendations on subject matter areaAbility to analyze, assess workflow processes and advocate for efficient and streamlined process improvementsAbility to lift, stoop, bend, push, and pull and the ability to concentrate on detail work Ability to manipulate and manage mechanical itemsExcellent verbal and written communication skills All employees must possess basic computer skills to use a variety of electronic or online systems for communication, clinical and administrative purposesEfficiency in Microsoft Office incl.
