Payroll & HR Systems Manager

Full time, Permanent

£48,000 - £59,000 per annum

London, Hybrid

As a standalone role, the Payroll & HR Systems Manager is entrusted with the responsibility of overseeing the monthly payroll process. This role demands meticulous attention to detail to ensure compliance, accuracy, and an outstanding employee experience. The incumbent will also play a key role in optimising the utilisation of HR systems, primarily Workday, to enhance efficiency in data management.

Monthly Payroll Management:

  • Accurately process monthly payroll for approximately 350 substantive employees and up to 100 casual workers.
  • Identify and report payroll errors promptly, devising effective resolution plans.

Governance and Audit Compliance:

  • Ensure adherence to Good Governance and Audit protocols by establishing and maintaining appropriate controls, documented processes, and regular reviews.
  • Uphold the highest standards of accuracy and rigor in all payroll-related activities.

Continuous Improvement:

  • Champion continuous improvement initiatives for payroll processes and system development.
  • Actively participate in cross-university working groups as required to contribute to system enhancements.

Subject Matter Expertise:

  • Serve as a subject matter expert on pensions, employment and benefits tasks, national insurance, and other associated taxes.
  • Provide expertise to the wider HR team on relevant matters.

Customer-Centric Approach:

  • Respond to employees' payroll queries in a timely manner, taking ownership and initiative to resolve queries, even if some elements fall outside the immediate remit.

Communication and Stakeholder Engagement:

  • Effectively communicate changes in payroll processes, HR systems, or legislation to relevant stakeholders.
  • Collaborate with the GGE systems team, Recruitment, IT, and HR Operations team to address system challenges.

Reconciliation and Reporting:

  • Ensure the full reconciliation of payroll data, reporting accurately to HMRC and pensions providers.
  • Develop and run audit and exceptions reports, taking overall responsibility for investigating and resolving any issues.
