Position Summary:

We are a 56-year-old family-operated HVAC company that specializes in sales, service, installation and maintenance of both residential and commercial heating and air conditioning equipment. We have an immediate need for an experienced Service Manager to provide direction, execution, leadership and management of the Service Division of our company.

Currently, the department will consist of a dispatcher with 7-10 year-round service and maintenance technicians.

The HVAC Service Manager is responsible for overseeing the service department, ensuring high-quality customer service, managing service technicians, and optimizing department performance. This role involves scheduling, troubleshooting, training, and maintaining customer satisfaction while ensuring compliance with safety regulations and company policies. The ideal candidate has strong leadership skills, HVAC expertise, and a passion for team development.

Key Responsibilities:

Operational Management:

  • Oversee daily operations of the HVAC service department, ensuring efficiency and effectiveness.

  • Develop and implement service policies, procedures, and best practices.

  • Monitor work orders, dispatching, and job completion to maintain productivity.

  • Ensure timely response to customer service requests and maintain a high level of customer satisfaction.

  • Manage purchasing with local vendors using purchase orders.

  • Maintain inventory control of service parts and equipment, vehicle restock.

  • Manage special tools and materials to technicians

  • Manage the emergency on-call rotation and provide support during those after hours.

  • File warranty claims with manufacturers.

Team Leadership & Training:

  • Supervise, mentor, and support HVAC service technicians.

  • Conduct regular training sessions to ensure technicians stay up to date with industry standards, safety regulations, and new technologies.

  • Manage technician performance, provide feedback, and conduct performance reviews.

  • Assist in hiring and onboarding new technicians to maintain a strong service team.

Technical Support & Troubleshooting:

  • Assist technicians in diagnosing complex HVAC issues and providing guidance on repairs, both during and after hours.

  • Ensure proper installation, maintenance, and repair of heating, cooling, and ventilation systems.

  • Stay informed about emerging HVAC technologies and industry trends.

  • Conduct follow-ups and quality checks on completed jobs.

Customer Relations & Sales Support:

  • Build strong relationships with customers and handle escalated service issues.

  • Occasional site visits with customers and technicians to ensure customer satisfaction and build relations.

  • Collaborate with the sales team to identify service opportunities and promote maintenance agreements.

  • Provide quotes and estimates for service work and system upgrades.

  • Track company membership and contracts and ensure yearly satisfaction of agreement.

  • Resolve customer complaints and/or questions pertaining to service.

Safety & Compliance:

  • Ensure all service work adheres to local, state, and federal HVAC codes and regulations.

  • Promote a culture of safety

  • Maintain and enforce company policies regarding workplace safety and proper handling of HVAC equipment.

  • Monitor vehicle appearance, safety and repairs.

Financial & Performance Management:

  • Monitor department budget, expenses, and profitability based on yearly business plan provided by CEO.

  • Track service performance metrics and implement improvements as needed.

  • Work with management to set department goals and drive revenue growth.

Qualifications & Skills:

  • Education: High school diploma or GED required; technical degree or HVAC certification .

  • Experience: Minimum 5 years of experience in HVAC service, with at least 2 years in a leadership or managerial role.

  • Certifications: EPA Certification required; NATE certification .

  • Technical Knowledge: Strong understanding of HVAC systems, troubleshooting, and repair techniques.

  • Leadership Skills: Proven ability to lead and develop a service team.

  • Communication Skills: Excellent verbal and written communication skills.

  • Customer Service: Strong focus on customer satisfaction and relationship building.

  • Problem-Solving: Ability to assess situations and provide effective solutions quickly.

  • Computer Skills: Proficiency in service management software (ServiceTitan a plus), Microsoft Office, and scheduling tools.

  • Valid Driver’s License: Required for job-related travel.
