Legal Administrative Assistant - Estates and Trusts (Hybrid)

Brandywine Estate and Elder Law. located in West Chester, PA is actively recruiting an Estate Administrative Assistant working onsite
full-time in our busy and fast-paced Trust & Estate practice.

This role is hybrid, so 2-3 days onsite, 2-3 days work from home.

The ideal candidate will have a proven track record in legal administrative support, excellent customer service skills, and the
ability to work effectively with clients. This role requires someone who is self-motivated, capable of meeting high expectations
without extensive micromanagement, and thrives in a fast-paced environment.

Responsibilities include, but are not limited to:

  • Serve as the first point of contact for clients and visitors delivering exceptional customer service and ensuring a positive experience
  • Perform administrative tasks, including scheduling appointments, managing calendars, and processing mail
  • Accurately and efficiently enter billing and client data into designated software programs
  • Support Attorney and staff with various administrative needs, including drafting, formatting, and filing legal correspondence, as well as organizing client files and scanning
  • Maintain high standards of work with the ability to meet established expectations and independently prioritize tasksMeet with clients and handle client requests
  • Assist Estate Planning Attorney as needed.
  • Maintaining case management software with working knowledge of MS Word, Outlook, Excel or similar document management systems
  • Schedule in-office meetings, and telephone or zoom conference calls
  • Retrieve and drop off UPS or FedEx packages and United States Postal mail
  • Handle mail for distribution to attorney and paralegal
  • Ordering office supplies
  • Bookkeeping

Required Skills:

  • Three years of legal administrative experience highly , estates and trust experience a plus
  • Valid Driver’s license
  • Ability to handle multiple tasks simultaneously with a high degree of professionalism and client .
  • Strong customer service background, with a focus on client-facing interactions and delivering a positive experience
  • Excellent organizational skills, attention to detail and ability to prioritize and work independently.
  • Ability to manage time and resources effectively and independently, and balance conflicting priorities.
  • Ability to work independently, manage multiple tasks, and meet established expectations without the need for extensive oversight
  • Willing to pitch in and support growing legal department in a fast-paced growing environment.
  • Proficiency with Microsoft Office Suite and the ability to quickly learn new software
  • Knowledge of Quickbooks online and basic accounting skills
  • Ability to learn e-filing systems for local county courts
  • Willingness to apply for Notary license
