Office Hours: 6:00 AM - 2:00 PM

Track and Manage Shipments

  • Update internal documents with new weekly shipments
  • Monitor and track all shipments to ensure timely delivery.
  • Communicate updates and delivery schedules to relevant stakeholders.
  • Manage and communicate with external parties, such as truckers, steamship line, customer receiving departments, etc to maintain smooth delivery of products

Process Delivery Orders and Bills of Lading (BOLs)

  • Prepare and send delivery orders, BOLs & arrival notices to freight partners.
  • Ensure accuracy of all shipping-related documentation.

Coordinate with Truckers and Freight Partners

  • Send new load lists and pickup numbers to truckers.
  • Handle all trucker communication regarding shipments.

Review & process trucker invoices and freight costs

  • Review all trucker invoices for accuracy; if any discrepancies are found, coordinate with the truckers to get them rectified.
  • Update and maintain the Freight Cost Spreadsheet.
  • Send out payment remittances to truckers.

Update Shipment Records

  • Maintain accurate records of all shipments.
  • Update shipment details with new weekly shipments.

Process and Create Invoices

  • Create an invoice list based on completed deliveries.
  • Ensure all invoice-related data is entered and updated in relevant spreadsheets.

Import Documentation & Compliance:

  • Prepare and submit ISF in compliance with U.S. Customs regulations.
  • Coordinate and manage customs clearance processes, ensuring timely and accurate documentation submission.
  • Liaise with customs brokers, freight forwarders, and regulatory agencies to facilitate smooth import operations.

General Administrative Duties

  • Receive incoming calls and check voicemails.
  • Respond to all incoming emails and inquiries in a timely manner.
  • Complete filing electronically and manage physical documentation as needed.
  • Assist in general administrative duties such as copying, faxing, and archiving.
  • Organize lunch pickup
  • Maintain a clean and organized place of work

Requirements:

  • Bachelor’s degree is required
  • Proficiency in Microsoft Excel
  • Excellent organizational and multitasking abilities.
  • Attention to detail and accuracy in data entry and document management
  • Strong written and verbal communication skills
