Maintenance Administrator Job Summary


Performs advanced office, secretarial and administrative duties for the Maintenance Manager and other site supervisors as assigned. Assists the Maintenance Manager to ensure complete, accurate and timely response to internal and external administration requirements and to promote efficient and effective site communications. Responsible for numerous data entry requirements within the maintenance department. Works in highly pressured and time-deadline environment and must produce voluminous work product in quantity and quality. Must be able to read, write, and speak English fluently, and Spanish would be a plus. Should be considered a power user of MS Office Word, Excel and PowerPoint (SAP experience is a plus).

Primary Duties and Responsibilities

Completes data entry functions for the Maintenance Manager, department Supervisors and Planners.


Processes purchase requisitions, invoices, and work orders.


Aids the maintenance manager in the formation of the annual maintenance budget.


Updates and formats plant procedures and policies as directed by the maintenance manager.


Transcribes notes into proper typewritten form with responsibility for arrangement, spelling, grammar, and punctuation.


Arranges meetings, receives visitors, schedules appointments, and makes travel arrangements and hotel accommodations.


Provides general clerical and administrative services, including typing, filing, processing and record-keeping of correspondence and reports, telephone and radio communications, and other duties related to Company Administration services.

Other Duties


Performs related secretarial duties which require initiative, good judgment and discretion.


Types, formats, proofreads, and prints correspondence including interoffice memoranda, letters, and reports.


Copies, distributes, and processes outgoing correspondence via U.S. Post Office, United Parcel Service, and Federal Express.


Keeps correspondence records and files.


Orders office supplies as needed.


Processes expense reports as requested.


Completes assigned training requirements.


Perform other duties as required.


Requirements:

Prerequisites


High school education or equivalent. Must be able to read, write, and speak English, speaking Spanish fluently is a plus. Must be a power user in Microsoft Word, Excel and PowerPoint.

Minimum of 2 years' experience in a secretarial or clerical position. The duties of this position are such that incumbent will be exposed to confidential material, both executive and interdepartmental in nature.

Ability to read, write and speak English properly and with comprehension and the ability to use correct English grammar in oral and written communications.

Ability to manage time effectively, prioritize tasks, set goals, and develop systems for achieving those goals.

Essential Functions


Ability to perform light physical work, exerting up to 10 pounds of force on a frequent basis, and 20 pounds of force on an occasional basis, performing tasks requiring manual dexterity (such as keyboard and ten-key device operation), and such activities as grasping, lifting, reaching, crouching, standing, walking, running, climbing, stooping, kneeling, pulling, sitting, and repetitive tasks. The ability to discern assorted colors.

Working Conditions


Works in a remote office environment. Potential exposure to hot, cold, sudden change of temperature, dry, wet, dusty, dirty, quiet, noisy, and working alone or with others. Potential hazards include CTS, minor cuts, falls, eyesight and hearing impairment. Safety critical position.
