LOCATION: Story City, Iowa

 

SUMMARY: A Maintenance Coordinator maintains supplies for all departments to meet production schedules and ensures equipment operates at optimal performance.

 

MAINTENANCE COORDINATOR ESSENTIAL DUTIES AND RESPONSIBILITIES include the following.

  • Purchasing: Purchase maintenance repair, and operational supplies for all departments, and occasional capital expenditure items. This includes researching parts, checking pricing, placing orders, entering purchase orders, tracking fulfillment, and solving invoice problems. When items deemed hazardous are purchased, obtain SDS information and forward it to the central filing system.
  • CMMS Maintenance and Administration: Regularly monitor and maintain the computerized maintenance management system, including administration of modifications and reporting as directed by engineering.
  • Inventory: Inventory Control includes putting parts away in the proper location, matching the receiver with the purchase order, and updating inventory daily by adding newly received or subtracting parts used for repairs from the database.
  • Physical Inventory: Adding parts to the database and completing physical inventory audits, including correcting the proper location, vendor, description, or part number.
  • Electronic Work Order Maintenance: Produce work order reports for department managers and supervisors to review. Generate weekly all scheduled preventative maintenance work orders and add new PMs or edit existing PMs, including tasks and schedules as needed.
  • Commitment Logs: Maintain the capital expenditure equipment logs, charitable contribution logs, contractor logs, and any insurance logs as necessary.
  • Calibrations: Facilitate all department calibration schedules, including entering and maintaining data with the specified calibration software.
  • Repairs: Manage items that must be sent for repairs by obtaining vendor quotes, obtaining manager approval or replacement, issuing purchase orders, preparing paperwork, packaging, arranging transportation, daily tracking, and monitoring to ensure timely returns and repairs.
  • Documentation: Accurate, timely, and organized documentation or filing of all related and necessary paperwork. Maintaining equipment manuals, manufacturer spec sheets, standard operating procedures, and updated maintenance or equipment documentation.
  • Meetings: Maintain agenda and meeting minutes for department and capital expenditure meetings.
  • Vendor Management: Meet with vendors and suppliers to review products or proposals and present them to the Plant Engineer, Maintenance Supervisor, or other department managers for consideration.
  • Bids: Obtain bids for ancillary plant services such as vending, janitorial, first aid supplies, and uniforms, procure these services, and establish schedules around production.
  • Purging Files: Purge purchase orders and call on any outstanding balances. Purge year-end work orders and purchase orders.
  • Monitor Timecards: Reconcile and correct maintenance electronic timecard entries for accuracy before payroll deadlines.
  • Other duties as assigned.

SENIOR MAINTENANCE COORDINATOR ESSENTIAL DUTIES AND RESPONSIBILITIES ADDITIONALLY INCLUDE:

  • Cost reduction: Monitor inventory min/max, obtain multiple quotes, part manufacturer by vendors, vendor control, research, track, and advise management of cost-saving opportunities.
  • CMMS Maintenance and Administration: Regularly monitor and maintain the computerized maintenance management system, including administration of modifications, reporting as directed by engineering, and partner with vendor or IT for system improvements.
  • Process Improvement: Participate and/or lead projects to standardize best practices in all COE's, 5S, Lean Manufacturing, and Kaizen activities.
  • Vendor Management: Manage vendor relationships, including contracts, cost-saving measures, delivery, and proposals, and share information with the plant engineer, maintenance supervisor, or other department managers for consideration.
  • Safety: Collaborate with EHS and team members to maintain above industry standards expectations in plant safety programs, including but not limited to participation in hazard risk analyses of equipment, especially for new equipment, and creating safety signs or labels.
  • Engineering Support: Work with engineers & vendors on reverse engineering of parts, especially for new parts and equipment.
  • Reporting: Create and maintain reports as directed daily, weekly, monthly, quarterly, or yearly
  • Other duties as assigned.

EDUCATION and/or EXPERIENCE

COORDINATOR LEVEL: Associate's degree (A. A.) or equivalent from two-year college or technical school; or six months to one year related experience and/or training; or equivalent combination of education and experience.

 

SENIOR LEVEL: Associate degree (A. A.) or equivalent from two-year college or technical school; with a minimum of five-years related experience and/or training; or equivalent combination of education and experience.

 

 

SKILLS

Ability to read, analyze, and interpret general business periodicals, professional journals, technical procedures, or governmental regulations. Ability to write reports, business correspondence, and procedure manuals. Ability to effectively present information and respond to questions from groups of managers, clients, customers, and the general public.

 

MATHEMATICAL SKILLS

Ability to calculate figures and amounts such as discounts, interest, commissions, proportions, percentages, area, circumference, and volume. Ability to apply concepts of basic algebra and geometry.

 

REASONING ABILITY

Ability to define problems, collect data, establish facts, and draw valid conclusions. Ability to interpret an extensive variety of technical instructions in mathematical or diagram form and deal with several abstract and concrete variables.

 

PHYSICAL DEMANDS

The employee must regularly lift and/or move up to 10 pounds, frequently lift and/or move up to 25 pounds, and occasionally lift and/or move up to 50 pounds. While doing inventory you stand, climb, stoop frequently. While putting parts away you lift parts that usually weigh 1lb. to 35lbs.
