Introduction

  • The basic function of the Mechancial Estimator is to prepare and present bid documents; and estimating the price of jobs. The Estimator puts the details of the job into a form that can be used by the Project Managers to complete the work profitably.
  • This position takes an active role in daily activities and processing work accurately and efficiently through the company systems as determined by management and supporting the finance team as necessary.

    Work

    • Systemp prefers the person filling this position also have a minimum of 5 years estimating experience.
    • Knowledge / Mental
      • Must be self motivated and a self starter.
      • Must have knowledge of Estimating software and apply these disciplines to the company processes and procedures.
      • Must have at least 2 years of HVAC experience
      • Mental abilities are required to read and understand detailed directions both verbal and written, then explain the details to other staff.
      • Must also have advanced skills and knowledge relating to communications both verbal and written.

        • Sight Due to the use of computers, we require this position to be able to focus the eyes clearly and have full depth of vision for long periods of time up to and including the full work shift.
        • Hearing This position requires the full range of hearing to use the company telephones from any work station. This position must be able to hear and understand directions from supervisors and other staff.
        • Speech This position requires the clear and unimpeded sound of human voice as required communicating with staff and customers.
        • The physical requirements are standing, walking, and sitting up to 100% of the assigned work day. Walking is required to transport directions and paperwork to communicate with other employees. This position includes walking, turning the head and torso, reaching, grasping, bending and flexing the arms, legs, wrists and fingers. Must be able to climb ladders up to two stories.
        • Due to the occasional responsibilities of material movements, this position must lift materials shoulder width above the waist level. The requirements include standing, carrying, and proper placement of materials to their new location and lifting material of fifty plus (50+) pounds.
    • Working Conditions
      • The majority of work time is spent in an office setting with low to moderate noise levels in a controlled atmosphere with static temperature.
      • Some other time is spent exposed to the outside elements typical of Southeastern Michigan while in process of reviewing job sites, reviewing equipment and materials, meeting with clients, etc.
      • This position requires a valid Michigan drivers license to complete the tasks discussed above.
    • REPORTING RELATIONSHIPS
      • This position reports to the President
    • AUTHORITY
      • Plan: Plan project activities based on an hours projection of Phase / Task Code work that accomplish the following objectives;
        • Accuracy of work;
        • Quality of work;
        • Following the directions of the specific projects;
        • On time performance (Bid Submittal.).
      • Provides on-time material list for price quotes from approved vendors. Maintain follow-up to assure time-lines are met and estimates are submitted on-time.
      • Take any reasonable action necessary to carry out the responsibilities of the position; while it is consistent with 1) strict adherence to safety, 2) established company policy, 3) sound business judgment and 4) the achievement of profit.
    • RESPONSIBILITIES
      • Ensure that you work diligently to achieve assigned or department activities, inform your supervisor if you cannot complete any assigned work on schedule.
      • Ensure that you perform all work within the range of quality and timeliness required by job parameters.
      • Ensure that you conduct activity in unison with your departmental operations within established policies, procedures, methods, budgets and business professionalism.
      • Ensure that written Standard Operating Procedures are established for all critical duties of this position by taking an active role in the development and installation of these procedures and best methods. This includes updating Department Manuals accordingly, and cross training affected staff about any changes in SOPs.
      • Ensure that you maintain a constructive work environment by maintaining organization and priority management in a multi-tasking, changing environment. In that environment, continue to work with other Systemp personnel by assisting them achieve continuous improvement whenever needed.
      • Ensure that work areas in your department are clean, organized and presentable to customers and other visitors. Maintain a reasonable work environment, by providing adequate safeguards for the work-related health and safety of all staff.
      • Ensure that you maintain open communications and a harmonious working relationship with all personnel, but in particular with those involved in a direct reporting relationship. Follow written and oral directions completely.
      • Ensure that you participate in meetings so we all know whats going on, as well as participating in meetings to resolve everyday work challenges. Provide an insightful and enthusiastic teamwork approach that creates positive attitudes and builds morale
      • Ensure that you use your time, materials, and equipment economically without sacrificing quality. Follow up on incomplete issues to completion or through completion as directed by your supervisor.
      • Ensure that you submit all such forms and reports in an Accurate, Complete, and On-Time basisso we can ACT on their information! This includes payroll time slips and established methods, procedures and standards.
    • PRIMARY DUTIES
      • Analyzes blueprints, specifications, proposals, and other documentation, to prepare time, cost, and labor estimates.
      • Prepares estimates used for management purposes, such as planning, organizing, and scheduling work.
      • Prepares estimates for selecting vendors or subcontractors, and determining cost effectiveness.
      • Reviews data to determine material and labor requirements, and prepares itemized list.
      • Prepares time, cost, and labor estimates for products, projects, or services, applying specialized methodologies, techniques, or processes.
      • Consults with clients, vendors, or other individuals to discuss and formulate estimates and resolve issues.
      • Meet bid deadlines then ensure that you get a peer review for each estimate and that the estimate checklist is completed for each estimate.
      • Review job sources and any available bid sheets to determine upcoming jobs available for bid. Using the criteria established by the President, select those jobs to bid which would further the profit and growth objectives of the company.
      • Examine the plans and associated documents of the chosen jobs to identify the unique or unusual characteristics of the job. Make note of these to ensure they are compensated for in the bid.
      • Prepare the bidding checklist.
      • Visit the job site to ascertain any characteristics of the job not noted in the plans and documents which would impact the job and its successful completion.
      • Do a take off of the plans to create the material list.
      • Make the following calls:
        • The bonding agent for coverage on that job.
        • Suppliers for material questions
        • Subcontractors for written quotes on their work.
      • Review historical job data to draw comparisons to the current job for estimating the amount of time needed to complete the work.
      • Analyze any subcontractors bids and select the one best suited for the job.
      • Add incidentals and contingencies to the bid.
      • Review the bid to verify the calculations.
      • Prepare the Scope of Work and attach to the bid.
      • Oversee the packaging and presentation of the bid documents to assure time for review.
      • Submit the bid by sending the documents to the Prime Contractor or customer.
      • Analyze all unsuccessful bids to determine how to be more successful in future bids.
        • Track bid results.
      • Assist Project Managers with Change Orders when asked.
      • Use resource material including Code Books, Internet, and personnel within Systemp, engineering practices, Systemp Standard Installation Procedures, mathematics, building materials or other physical sciences to complete bids on time.
      • Check the quality of your own work, making sure you achieve the required results by using checklists and / or research documents to support your methods and practices. Review drawings.
      • Follow up on all incomplete items through their satisfaction
      • Provide technical answers and direction as necessary.
      • Interacts with clients, engineers, other trades, and on occasion, respective city officials as related to a specific project.
      • Complete other duties assigned by the President
