The Office Manager will be responsible for ensuring the smooth operation of the office and administrative functions for a multi-service construction Company. This role requires a highly organized, detail-oriented individual with excellent communication and leadership skills. The Office Manager will manage office supplies, handle administrative tasks, coordinate office events, and support the overall efficiency of the office environment.

Reports To: President

Supervises: Additional Office Staff

Responsibilities:

  • Oversee daily office operations and ensure that office processes run smoothly.
  • Manage office supplies inventory and place orders as needed.
  • Coordinate maintenance and repairs of office equipment.
  • Organize and schedule meetings and appointments.
  • Perform payroll duties
  • Oversee audits and arrange for Accord Certs for Company Insurance (Gen. Liability, Auto, Pollution, Workers Comp)
  • Assist in the preparation of regularly scheduled reports.
  • Confirm company vehicle insurance renewals and register new vehicles
  • Schedule pre-employment drug testing
  • Schedule post-accident drug and alcohol testing
  • Develop and maintain a filing system.
  • Handle office-related inquiries and provide general support to visitors.
  • Manage office budget and expenditures.
  • Implement and maintain office procedures and policies.
  • Support HR in onboarding and offboarding employees.
  • Liaise with facility management vendors, including cleaning, and other services.

Requirements:

  • 3 years of Prior experience as an “Office Manager” in a construction industry
  • Knowledge of office administrator responsibilities, systems, and procedures.
  • Proficiency in computer skills and MS Office
  • Excellent time management skills and ability to multitask and prioritize work.
  • Attention to detail and problem-solving skills.
  • Excellent written and verbal communication skills.
  • Strong organizational and planning skills.
  • A creative mind with an ability to suggest improvements.
  • High School degree: additional qualifications as former Administrative Assistant and/or Secretary will be a plus.

Work Environment:

  • This role operates in a professional office environment.
  • The role routinely uses standard office equipment such as computers, phones, photocopiers, filing cabinets, and fax machines.

Physical Requirements:

  • Ability to sit for extended periods.
  • Ability to lift office products and supplies, up to 20 pounds.
