Job Title: Office Manager (Customer Service & Planning)

Reports to: General Manager

FLSA: Non-exempt (eligible for overtime)

Location: Bradenton, FL

Job Summary

An Office Manager plays a crucial role in ensuring the efficient functioning of an organization by overseeing various administrative tasks and managing the warehouse facility resources. This position is pivotal for maintaining a productive and organized workplace, enabling other staff members to perform their roles effectively.

The office manager will also assist with planning and customer service for Signamark, a premium fiberglass door company. Signamark® product lines contribute to the long-lasting value and beauty of homes throughout the United States. Signamark® exterior doors by Trinity Glass International set the benchmark as an industry leader in innovation, quality, and sustainability with a wide range of various door styles.

Successful candidates will render a variety of customer service duties and will pride themselves on their professionalism and have good data/order entry and phone skills.

Responsibilities

  • Oversee and coordinate warehouse administrative procedures and review, evaluate, and implement those procedures.
  • Establish work priorities and ensure deadlines are met and procedures are followed.
  • Manage office supply inventory, anticipating needed supplies, placing and expediting orders for supplies.
  • Maintain a safe, secure, and pleasant work environment.
  • Resolves customer requests, questions and complaints frequently requiring analysis of situations to determine best use of resources.
  • Serves as liaison between the customer and various departments
  • Operates office equipment such as phone systems, computers and terminals as necessary.
  • Provides pricing, product availability and delivery/tracking information, processes orders, and problem solving.
  • Ability to audit purchase orders as received to ensure orders are complete and ready to process.
  • Maintains records by documenting orders and logging phone calls and related clerical duties.
  • Knowledge of customer service inclusive of proper phone etiquette, computer skills documentation, information regarding our product, and other information that provides valuable service to our customers.
  • Prepare and edit correspondence, reports and memos.
  • Serve as the point of contact for internal and external clients.
  • Handle incoming and outgoing communications, including phone calls, emails, and mail.
  • Maintain warehouse files and records, ensuring they are up to date and properly managed.
  • Monitor jobs to ensure they will finish on time.
  • Obtain output information (number of finished products, percentage of defects, etc.)
  • Prepare and submit status and performance reports.
  • Collaborate with quality control, warehouse and other staff.

Required Skills/Abilities

  • Proficiency in MS office (Excel, Word, PowerPoint).
  • Excellent organizational and time management skills.
  • Strong written and verbal communication skills.
  • Ability to multitask and prioritize work.
  • Interpersonal skills to interact effectively with all levels of staff and external contacts.

Education and Experience

  • High school diploma or equivalent.
  • Some college .
