Job Description: The Personal Assistant to the Director will be responsible for providing comprehensive support, including managing travel arrangements, scheduling appointments, handling correspondence, and performing various administrative tasks. This role requires impeccable organizational skills, attention to detail, and the ability to handle sensitive information with discretion. Key Responsibilities: Travel Coordination: Book flights, accommodations, and transportation for both domestic and international travel. Ensure all travel arrangements are cost-effective and align with the Director’s preferences. Scheduling: Manage the Director’s calendar, schedule meetings, appointments, and conference calls across different time zones. Restaurant and Event Reservations: Arrange dining reservations and organize events for the Director and their guests, ensuring all details are meticulously handled. Correspondence Management: Handle incoming and outgoing communications, including emails, phone calls, and mail. Draft and edit correspondence as needed. Administrative Support: Prepare reports, presentations, and documents. Maintain filing systems and manage office supplies. Personal Errands: Assist with personal tasks and errands as required. Liaison Role: Act as the primary point of contact between the Director and internal/external stakeholders. Qualifications: Experience: Proven experience as a Personal Assistant, Executive Assistant, or in a similar role. Skills: Proficiency in booking flights, hotels, and restaurants, especially for international destinations. Strong organizational and multitasking abilities. Excellent verbal and written communication skills. Proficient in Microsoft Office Suite (Word, Excel, PowerPoint) and other relevant software. Attributes: High level of discretion and confidentiality. Strong problem-solving skills and the ability to anticipate needs. Flexibility to adapt to changing priorities and schedules. Education: A bachelor’s degree or equivalent experience is preferred. Other: Availability to work flexible hours, including occasional evenings and weekends, as needed.
