Position: Planning Specialist
Roles and Responsibilities:
- Manage workflow processes including Corrective Maintenance (CM), Preventative Maintenance (PM), and Minor Projects (PJs).
- Oversee Management of Change (MOC) processes to ensure risk assessment and implementation of recommended software or plant changes.
- Track refurbishable spares processes, including tagging, repair, quality checks, logistics, and reinstallation.
- Develop preventative and predictive maintenance procedures using OEM manuals, industry best practices, and standards such as ASME, ISA, API, IEEE, NETA, IEC, ASNT, ASTM, and FMEAs.
- Create forms, checklists, and inspection sheets to support maintenance procedures.
- Develop a Long-Term Outage Plan to satisfy all legal and regulatory requirements and asset-specific maintenance in accordance with the Asset Management system.
- Formulate and document workflows with timelines for all steps in the Outage Planning process.
- Develop and schedule preventative, predictive, and condition-based monitoring maintenance processes for critical equipment.
- Continuously monitor and optimize the PM program.
- Recommend predictive maintenance activities to improve plant reliability.
- Complete projects assigned from Project Charter to Closeout using standard Project Management methodologies.
- Develop template reports regarding the management of all Outage Planning and Projects utilizing PMP standards.
- Conduct audits of the MOC, TIL, and Contractor Management systems.
- Plan all assigned maintenance work activities according to quality standard work package requirements.
- Participate in Planning and Scheduling Meetings and other planning-related meetings as required.
- Ensure work packs are complete with job plans, resources, risk assessments, P&IDs, and materials available and staged before scheduling.
- Audit jobs in progress to ensure planning accuracy.
- Perform other tasks as assigned by the Team Lead to support the function.
- Perform other related duties to support the achievement of the company’s goals and objectives.
- Develop workflows for:
- The registration and management of contractors in accordance with the contractor management policy.
- Managing the acquisition, tracking, planning, execution, and closeout of Technical Information Letters (TILs) or any Original Equipment Manufacturer (OEM) recommended modifications.
- Maintaining electronic and hard copy records as necessary for compliance with the Asset Management system.
- Managing the Capital Parts Tracking program.
- Create, update, and manage a Microsoft Project schedule for all outages and capital projects.
Education and Experience:
- B.Sc. in Engineering or a related discipline.
- Minimum of seven (7) years of experience in the planning of maintenance for a plant or heavy plant industry as a mechanical engineer, with at least three (3) years at a supervisory level. OR
- Minimum of twelve (12) years of experience in the planning of a plant or heavy plant industry as a mechanical technician, with at least five (5) years at a supervisory level.
- Project Management Professional (PMP) certification is an asset.
Membership and Licenses:
- PMP Certification.
Knowledge, Skills, and Abilities:
- Actively promote and personally observe HSE procedures, using tools, equipment, and materials effectively.
- Knowledge and experience in maintenance execution and Reliability Engineering.
- Practical experience in developing job safety analyses for maintenance activities.
- Knowledge of maintenance planning and scheduling processes.
- Training in a computerized maintenance management system (CMMS), preferably Maximo, with a proven track record of using the system.
- Practical use of MS Project is an asset.
- Proficiency in computer applications, including word processing, spreadsheets, and database applications.
- Effective analytical, organizational, problem-solving, and time management skills.
- Ability to identify root causes and reach logical resolutions, establish and prioritize tasks and objectives to manage time, resources, and risks appropriately.
- Practical-minded with excellent organizational and interpersonal skills.
- Ability to anticipate future changes or challenges and develop appropriate solutions.
- Strong collaboration skills to work with internal teams and stakeholders.
- Effective communication skills, both verbally and in writing, with superiors, colleagues, and individuals inside and outside the company.
