Procurement Advisor

osition: Associate Procurement Specialist
Location: Based in Swindon (Initially 5 days in the office, then reduced to 3 days).
Contract Type: Entry-level position, inside IR35
Rate: £13.00 per hour PAYE excluding holidays
Duration: 6 months (with potential for transition to a permanent position)

Role Overview

The position involves supporting the Facilities Management team with procurement activities, primarily raising Purchase Orders and issuing requests for quotations. The ideal candidate will have at least one year's experience in buying and procurement.

Key Responsibilities

  • Support all supply chain functions for various projects, including but not limited to facilities management spending for the Swindon site.
  • Promote and share the company's supply chain processes, policies, and procedures.
  • Proven stakeholder management skills for both internal and external stakeholders.
  • Provide supply chain support for the following areas:
    • Category Management
    • Contract Management
    • Supply Chain Operations
  • Manage transactional activities in collaboration with international teams.
  • Serve as the main contact for stakeholders to meet purchase order service level agreements (SLAs).
  • Convert purchase requisitions to purchase orders as needed.
  • Ensure compliance for all purchases, including obtaining necessary documents (quotations, approvals, contracts).
  • Maintain filing systems and databases according to document storage policies.
  • Use the eProcurement tool for managing RFQs and ensuring compliance.
  • Collaborate with supply chain category, contract, and operations teams as necessary.
  • Work with global teams for collaborative project delivery.
  • Participate in process improvements for supply chain operations.
  • Conduct procurement activities from enquiry to award stages for products and services.
  • Manage emails and calendar scheduling through Microsoft Outlook to support supply chain and project teams.
  • Adhere to compliance, business conduct, health, safety, environment, and employment policies.
  • Manage supplier engagement and relationships.
  • Handle project planning and scheduling.
  • Demonstrate strong negotiating, verbal, and written communication skills.
  • Identify potential suppliers and evaluate their specifications and quotations.
  • Process purchase orders with specific restrictions where required.
