Job Description:

Meade Engineering is seeking a Project Administrator to support our team in managing schedules, coordinating communication, and ensuring smooth project execution. This role will be responsible for managing schedules, organizing meetings, tracking deadlines, and ensuring seamless communication across teams. You will play an essential role in supporting project management through efficient coordination, document management, and reporting.

Job Duties:

  • Prepare, organize, and maintain project documentation (including contracts, reports, specifications, and meeting minutes).
  • Support communication between internal teams, clients, and external stakeholders to ensure smooth project execution.
  • Schedule and organize meetings, ensuring all participants are informed and all necessary materials are prepared.
  • Track project deliverables, milestones, and resource needs to ensure all tasks are completed on time.
  • Assist with reporting, preparing status updates, project reports, and presentations for stakeholders.
  • Maintain filing systems and ensure documentation is accurate and up to date.
  • Provide administrative support, including managing project-related correspondence and assisting with billing or invoicing.
  • Act as an initial point of contact for project teams and stakeholders, ensuring that project-related questions are addressed promptly

Minimum Qualifications:

  • 1+ years of experience in a fast-paced, high-volume administrative role.
  • Exceptional proficiency in Microsoft Office Suite (Excel, Word, PowerPoint, Outlook).
  • Strong execution skills in Adobe Acrobat (PDF management, editing, etc.).
  • Excellent organizational skills with the ability to handle multiple tasks and deadlines.
  • High attention to detail and a focus on accuracy in all deliverables.
  • Strong communication skills and the ability to collaborate with teams.
  • Proactive and self-motivated, able to work independently with minimal oversight
  • Experience in an engineering or architectural environment is a plus.
  • Familiarity with project management tools such as Procore & Teamwork is a plus.
