Project Coordinator

The Project Coordinator provides overall support by assisting in material management, documentation, communication with the project team, and enforcement of safety standards. This role is a great training opportunity with a defined career path in project management. This position requires a proactive thinker, who is self-motivated, shows attention to detail as well as ability to manage field management directly and indirectly in an effective and efficient manner.

 

Responsibilities:

Project Administration

·         Coordinate and enforce project safety standards and ensure compliance with regulations.

·         Maintain and update project schedules, milestones, and drawings.

·         Prepare and organize job start-up documents, including Notices of Commencement, contracts, and permits.

·         Track daily work progress and report to project managers.

·         Create, update, and manage RFIs, change orders, submittals, and permitting documentation.

Cost Estimation and Budgeting

·         Prepare estimates by gathering proposals, blueprints, and related documents.

·         Use project management software for take-offs, budgeting, forecasting, and data analysis.

·         Maintain cost databases and ensure accurate backups.

·         Collaborate with pre-construction teams to validate project scopes and change orders.

Vendor and Subcontractor Management

·         Build and maintain strong relationships with vendors and subcontractors.

·         Obtain and analyze quotes for labor, materials, and equipment.

·         Coordinate municipal account setups, license renewals, and insurance documentation.

Project Execution Support

·         Oversee jobsite procurement, including hotel bookings, material storage, and travel accommodations.

·         Collaborate with staffing coordinators to address manpower needs.

·         Coordinate startup activities, including temporary power, demolition, and initial meetings.

Safety and Compliance

·         Develop and maintain job-specific safety plans and documentation.

·         Assist in identifying and mitigating potential risks to ensure project continuity.

Communication and Reporting

·         Prepare detailed internal and external project status reports, covering equipment, manpower, and material requirements.

·         Act as a liaison between field teams, project managers, and pre-construction teams to ensure cohesive operations.

 

Education:

·         Bachelor’s degree in human resources, Business Administration, or related field , or equivalent work experience.

Working Conditions:

·         Combination of office and job-site environments.

·         Occasional travel to project sites and municipality offices.

 

Qualifications:

·         Strong analytical and problem-solving skills

·         Proficient in Excel, Word, Outlook, Bluebeam and applicable Engineering programs

·         Able to perform at a high level of proficiency under pressure to meet deadlines

·         Works well with a diverse group of people

·         Strong work ethic and moral character

·         Strong written and verbal communicative skills

·         Impeccable problem-solving skills and attention to detail

·         Ability to communicate and plan with management

·         This position requires a successful completion of a drug screening

·         This position requires a successful MVR check

·         Valid Driver’s License

·         Ability to walk job sites with which would include but not limited to the following physical duties: ascending and descending ladders, walking on uneven terrain, walking up and down hills, being exposed to various weather conditions
