Project Coordinator (Civil Engineering)

Responsibilities What your day will look likeProject Coordination & AdministrationProvide coordination support to Project Managers for the overall life-cycle of engineering design and construction projects, including but not limited to: the preparation, monitoring and execution of project plans, reports, proposals, contracts, electronic project set-up and maintenance, client invoice review and tracking, and budget analysis using Dillon’s financial management systemAbility to assist with any design (CADD design) of transportation and municipal infrastructure, incorporating water supply, sewers, roads, land development site servicing, drainage, and waste management elements.Assist with drafting client and sub-consultant/sub-contractor agreements and scope changes using Dillon standard templates, and coordinating the contract review and approval processProvide assistance with general accounting needs (invoices, accounts payable, expense claims, database management, project closure, Track, verify, and process sub-consultant/sub-contractor invoicesSupport project managers with document control programs between clients, consultants and contractors. Tracking Requests for Information (RFI’s), setting up project team meetings and facilitating responses to information from the technical teamsProvide enhanced and embedded project support to meet unique project requirements on an as required basis, such as:Attend project meetings to record and distribute meeting minutes, participate in client meetings and liaise with various departments within our client groupsConstruction contract administration support, including construction contract procurement, payment certificates, change orders, reporting, and document managementDetailed coordination for project meetings, public engagement open houses, or workshops, including venue selection, catering, display materials, and on-site event supportSupport for the development of project documentation (. letters, memos, forms, specifications), including assistance with planning and maintaining schedule, compiling from multiple authors, inclusion of tables/graphs/graphics, and coordinating quality and risk reviewsLearning and DevelopmentCommit to self-development and ongoing learning and professional developmentContribute to Dillon’s corporate profile through active participation in professional associations and committees Qualifications What you will need to succeed5 years project administration/project coordination/construction management related experience with a background in engineering, civil preferredPost-secondary education in a business administration or project management related program is considered an asset Experience Understanding of basic accounting principles, terms and financial functionsProficient in the use of Microsoft Office, specifically Word, Excel. and PowerPointExcellent attention to detail, a high regard for accuracy, and the ability to provide high quality outputsProfessional verbal and written communication skillsTime management skills and the ability to prioritize work effectively to meet tight deadlines and adapt to changing workload demandsStrong interpersonal skills and a positive “can do” attitudeAbility to develop innovative solutions when experiencing unexpected challenges or roadblocksExperience in MS Project is considered an assetExperience in a Professional Services consulting firm (engineering/environmental/planning) is considered an assetWhy choose DillonDillon is powered by people who are technically proficient, passionate about socially important projects, and motivated to deliver superior, tangible results.
