Job Description:
The Project Coordinator & Executive Assistant will be the central point of contact for all project-related tasks, ensuring that various projects remain on track and deadlines are met. You will also provide high-level executive administrative support to the Founder/CEO, President/COO, and HR Leader.
The ideal candidate will be a self-starter who thrives in a fast-paced, ever-evolving environment and has a passion for keeping things running smoothly. You will possess the ability to manage multiple moving pieces, prioritize effectively, and communicate proactively to keep projects and teams aligned.
Key Responsibilities:
Project Management:
- Maintain and update the master task list for various company projects.
- Monitor the progress of ongoing projects, ensuring tasks are completed on schedule and deadlines are met.
- Work closely with project managers and team members to ensure projects stay on track.
- Adjust project timelines or strategies when unexpected delays or changes occur.
- Track project milestones and key deliverables, ensuring they are achieved on time.
- Communicate any project-related challenges to leadership and propose solutions.
Executive Administrative Support:
- Provide high-level administrative support to the Founder/CEO, President/COO.
- Manage calendars, appointments, and meeting coordination for the executive team.
- Prepare reports, presentations, and documents as needed.
- Handle confidential information with discretion and professionalism.
- Assist in the preparation and execution of internal meetings.
Team Coordination & Communication:
- Facilitate communication between departments and project teams, ensuring alignment and clarity of goals.
- Help the team navigate shifting priorities and adjust workflows to ensure continued productivity.
- Ensure all team members are clear on their roles and responsibilities within a project.
- Prepare and distribute project status reports to key stakeholders.
Qualifications:
- Bachelor's degree or equivalent experience in business administration, project management, or related field.
- 3+ years of experience in project management, executive support, or operations coordination.
- Exceptional organizational skills with an ability to manage multiple priorities and deadlines.
- Strong attention to detail, ability to track and update tasks in real time.
- Excellent written and verbal communication skills.
- Extensive experience with macOS
- Proficiency in project management software (e.g., Notion, Monday.com) and Microsoft Office Suite (Word, Excel, PowerPoint).
- Ability to work well independently as well as in a collaborative team environment.
- Highly proactive, resourceful, and able to anticipate the needs of executives and teams.
