Job Description:

The Project Coordinator & Executive Assistant will be the central point of contact for all project-related tasks, ensuring that various projects remain on track and deadlines are met. You will also provide high-level executive administrative support to the Founder/CEO, President/COO, and HR Leader.

The ideal candidate will be a self-starter who thrives in a fast-paced, ever-evolving environment and has a passion for keeping things running smoothly. You will possess the ability to manage multiple moving pieces, prioritize effectively, and communicate proactively to keep projects and teams aligned.

Key Responsibilities:

Project Management:

  • Maintain and update the master task list for various company projects.
  • Monitor the progress of ongoing projects, ensuring tasks are completed on schedule and deadlines are met.
  • Work closely with project managers and team members to ensure projects stay on track.
  • Adjust project timelines or strategies when unexpected delays or changes occur.
  • Track project milestones and key deliverables, ensuring they are achieved on time.
  • Communicate any project-related challenges to leadership and propose solutions.

Executive Administrative Support:

  • Provide high-level administrative support to the Founder/CEO, President/COO.
  • Manage calendars, appointments, and meeting coordination for the executive team.
  • Prepare reports, presentations, and documents as needed.
  • Handle confidential information with discretion and professionalism.
  • Assist in the preparation and execution of internal meetings.

Team Coordination & Communication:

  • Facilitate communication between departments and project teams, ensuring alignment and clarity of goals.
  • Help the team navigate shifting priorities and adjust workflows to ensure continued productivity.
  • Ensure all team members are clear on their roles and responsibilities within a project.
  • Prepare and distribute project status reports to key stakeholders.

Qualifications:

  • Bachelor's degree or equivalent experience in business administration, project management, or related field.
  • 3+ years of experience in project management, executive support, or operations coordination.
  • Exceptional organizational skills with an ability to manage multiple priorities and deadlines.
  • Strong attention to detail, ability to track and update tasks in real time.
  • Excellent written and verbal communication skills.
  • Extensive experience with macOS
  • Proficiency in project management software (e.g., Notion, Monday.com) and Microsoft Office Suite (Word, Excel, PowerPoint).
  • Ability to work well independently as well as in a collaborative team environment.
  • Highly proactive, resourceful, and able to anticipate the needs of executives and teams.
