Position Title: Project Manager
Manager’s Position: VP of Operations
Position Mission:
To oversee and manage all aspects of projects from permit approval through final completion. The Project Manager work with the Precon manager to update budgets and maintain customer expectations for the cost of the project while in precon. They will take over a project from the Preconstruction Manager and work alongside the Superintendent to ensure the project is built on time, within budget, and to the expected quality standards.

- Project Planning and Scheduling
- Build the project schedule in collaboration with the Project Superintendent.
- Monitor project timelines and make adjustments as needed to ensure timely completion.
- Implement milestone tracking to gauge project progress and preempt potential delays.
- Budget and Financial Management
- Set up the initial project budget in Buildertrend (BT) with the Preconstruction Manager and Bookkeeper.
- Provide updates to the budget and discuss with homeowners as the projects progress through the preconstruction process.
- Execute monthly Budget Maintenance Sheets (BMS) for while projects are in construction.
- Oversee cost control efforts, ensuring costs are within the project budget.
- Prepare and review owner invoices in AIA format, then send them to the Bookkeeper for BT processing.
- Contracts and Subcontracts
- Execute and review subcontracts and Purchase Orders (POs) with trades, coordinating with the VP Ops before finalization.
- Ensure that all necessary sub bids have been received; work with Preconstruction Manager if any bids are outstanding.
- Verify the compliance of subcontractors with project requirements and contractual obligations (insurance and signed subcontract agreement).
- Execute final contract with customers once preconstruction scope of work is complete and before construction starts. Ensure that all sub costs and owner selections are accounted for in the Owner’s contract.
- Procurement and Material Management
- Assist with coordination between material selections coordinator and Owners, ensuring timely ordering for on-schedule installation.
- Oversee the ordering of long-lead items (e.g., trusses, lumber, windows) to prevent project delays.
- Maintain an organized record of all material orders, delivery timelines, and on-site inventory.
- Project Coordination and Communication
- Facilitate regular communication among project stakeholders, including Owners, Superintendents, and subcontractors.
- Lead daily and weekly meetings for construction department (active projects) and update stakeholders on progress, challenges, and resolution steps.
- Attend daily and weekly meetings for preconstruction department
- Ensure Buildertrend is updated with all project documentation, including progress photos, change orders, and permit documentation.
- Quality Assurance and Compliance
- Conduct routine site inspections to ensure quality control and adherence to project specifications.
- Ensure compliance with all safety regulations and building codes, promptly addressing any identified issues.
- Maintain organized, up-to-date project documentation for inspections and audits.
- Risk and Issue Management
- Identify potential risks early in the project and develop mitigation strategies.
- Respond promptly to unexpected issues, collaborating with the Superintendent and trades to resolve challenges efficiently.
- Maintain a risk log in Buildertrend to track potential risks, status, and resolution actions.
