Job Overview
We are seeking a highly organized and proactive Client Services Coordinator to join our dynamic team. In this role, you will be responsible for managing client communications, organizing projects, and providing essential support to ensure smooth and successful project execution. You will work closely with clients, internal teams, and vendors to deliver high-quality results in a fast-paced, yet relaxed work environment.
Key Responsibilities:
- Client Communication: Serve as the primary point of contact for clients, engaging in regular communication via phone, email, and Zoom calls to discuss project updates, feedback, and deliverables.
- Project Coordination: Organize and manage client projects, tracking content, delivery dates, and revisions. Ensure that all milestones and deadlines are met.
- Appointment Scheduling: Coordinate and schedule client meetings, ensuring that all relevant stakeholders are aligned on timing and agenda.
- Client Meetings: Attend client meetings, both in-person and virtual, to provide support, take notes, and track action items.
- Weekly Production Meetings: Participate in internal production meetings to discuss project progress, share client feedback, and address any challenges.
- Project Management: Utilize project management software to monitor project timelines, track tasks, and maintain client information.
- Billing Assistance: Support the billing process by assisting with invoicing, tracking payments, and managing client accounts.
- Client Presentations: Assist in preparing and delivering presentations to clients, ensuring clarity and alignment with their needs.
- Fast-Paced Environment: Adapt to a variety of tasks and priorities in a fast-paced yet laid-back work environment, ensuring client satisfaction at all times.
Required Skills & Qualifications:
- Strong customer service with the ability to build and maintain positive relationships with clients.
- Exceptional attention to detail and ability to manage multiple projects simultaneously.
- Proficient in email communication, Zoom, and project management software (experience with tools like Asana, Trello, or Monday.com is a plus).
- Excellent communication skills (both written and verbal) to clearly convey information and provide exceptional support to clients.
- Ability to manage and prioritize tasks in a fast-paced environment, while maintaining a calm and laid-back demeanor.
- Knowledge of advertising, design, and web development is highly desirable.
- Prior experience in a client-facing role, project coordination, or account management is a plus.
